The Office Manager will assist in organizing office operations, Accounts Payable, Accounts Receivable, entering supply requisitions, and other office related functions to support other departments.

Your Role

The Office Manager will assist in organizing office operations, Accounts Payable, Accounts Receivable, entering supply requisitions, and other office related functions to support other departments.

Your Responsibilities

Auditing and processing of incoming vendor invoices via the internal accounting system.

Maintain proper procedures in Purchase Order Process to ensure compliance with internal guidelines and processes. Manage the P.O. process within the site

Interact with local management and supervisors regarding business purchasing needs, ensure they are align with overall business plan for the facility

Independently process month end procedures to ensure accurate revenue and cost recognition and result presentation.

Ensure compliance with internal guidelines in all financial matters such as credit control, purchasing, billing and disbursement.

Assist with weekly projection reports with assistance from Business Controlling

Monitor continuously business development in terms of productivities, volumes and cost.

Support the General Manager's (DCM's) in financial matters.

Prepare and generate monthly billing with support from DCM

Prepare KPI measurements as required by each individual customer contract

Update daily, weekly, monthly &/or quarterly management reports.

Will assist with accident reports and OSHA Reporting, including filing work compensation claims.

Assist with entering training records and updated the sites training matrix.

Order supplies and equipment as needed.

Participates as needed in special department projects.

May be required to assist with payroll processing by auditing timekeeping records, entering time off requests and maintaining attendance records. Will update the attendance tracker and issue counseling notices.

May be required to assist with onsite hiring fairs and new hire orientation.

Will perform other job tasks, as assigned.

Your Skills and Experiences

High school diploma or GED required.

Associates or Bachelor's degree preferred. Or, will consider 1-2 year of experience in A/R, A/P, P.O. related environments

Ideal candidate will have prior experience in warehouse environment.

Basic understanding of financial and accounting concepts.

Ability to multitask and meet deadlines

Strong PC skills including proficiency in Excel and PowerPoint.

Strong work ethic and team player.

High degree of professionalism.

Ability to deal sensitively with confidential material

Strong interpersonal (verbal and written) communication skills.

Ability to communicate with various levels of the organization.

Decision-making, problem-solving, and analytical skills.

Ability to establish priorities and accomplish multiple tasks with minimal supervision.

Fluent in English
