Hospitals Insurance Company has an exciting Insurance Program Administrator position available in their White Plains office!

Hospitals Insurance Company is looking for an Insurance Program Administrator to join their Underwriting & Physician Services Department. As the Insurance Program Administrator, you will support the daily operations of the department serving in the administration of the HIC Physician and Physician Extender insurance programs. You will provide exemplary customer service to our insureds, hospital liaisons, risk managers and potential candidates for enrollment insurance programs.


  1. Organizes and arranges all physician applications (VAP, IAP, Section 18) for underwriting review.
  2. Processes application after completion of review. Secures outstanding and/or missing items documents required for the enrollment process as specified by the Underwriting Committee.
  3. Prepares policies, confirmation of enrollment, and program materials for both primary and excess insurance lines.
  4. Responds to routine inquires form insureds and potential candidates. Prepares follow-up correspondence in response.
  5. Processes, cancellations, suspensions, status and territory changes.
  6. Formats spreadsheets to track and trend program enrollment and attrition of program insureds. Presents data for review.
  7. Performs data entry in the OASIS system, updates the database according to changes in the physician’s and physician extender profiles while emphasizing data integrity and quality assurance activities.
  8. Support analytical and underwriting activities in preparation of reports to the Department of Financial Services.
  9. Maintains paperless files by organizing and indexing physician information using On-Base.
  10. Manages the calendar pertaining to Primary and Excess Renewals. Prepares materials and SOIs for distribution.
  11. Monitors, track and report on the status of renewals in progress. Identifies pertinent issues that will require further review and underwriting consideration.

  13. Maintains spreadsheets and database for generating Certificates of Insurance (COIs) for hospital employees.
  14. Demonstrates excellent customer service skills including telephone, correspondence and e-mail communication with physicians, hospital liaisons, practice managers, and all internal and external clients. Implements communication skills and problem-solving techniques sensitive to client needs.
  15. Performs other duties or special projects as required or assigned.

BA/BS degree

Experience Required:

  • Experience in insurance a plus
  • Experience as a Practice Manager


  • Excellent interpersonal and communication skills
  • Proven problem-solving techniques
  • Able to work both independently and as part of team
  • Computer literacy – Strong Excel Skills
  • Attention to detail
