Construction Coordinator

Job Description

Summary of Position Requirements

Assist with a variety of duties including managing the permitting process, municipality liaison for plan approval and permits, management of the division's job starts process, responsible for processing critical forms and posting of documents in a timely manner, compiling and updating reports, data entry, coordinating with construction managers, maintaining files, processing invoices, answering phones, etc. Position requires the ability to multitask and drive results in a team atmosphere. Individual must be self-motivated, detail oriented, and possess a can-do positive attitude.

Primary Duties and Responsibilities

* Manage the permitting and divisional starts process

* Obtain all required approvals for permits and act as liaison between the company and each municipality

* Oversee others and participate in preparation and submittal of applications to various agencies/ boards having jurisdiction over required permits and/or approvals

* Review plans before being issued to the division for correct revision dates and review start packages for accuracy

* Prepare check requests and approve credit card payments for permitting and other municipality fees including water and gas meters

* Coordinate paperwork and applications with outside consultants as necessary

* Work closely with the municipalities on the status of permits and ensure they are processed in a timely manner

* Work closely with the divisions sales team to slot new homes for construction starts in order to meet divisional business plans

* Manage and maintain the Build Pro file postings via the web for job start information

* Obtain weekly production tracking reports from Construction Managers & enter into JD Edwards

* Prepare and maintain Settlement Tracking and Production Status Reports

* Obtain weekly updated information from the field on Production, Safety and SWPPP and enter into JD Edwards and Excel

* Interact and assit Purchasing Department to ensure timely response to field issues

* Prepare start packages for Construction Managers

* Monitor reports: permit, mortgage and closing package status

* Assist in obtaining inspections and certificates of occupancy needed for closing

* Create correspondence

* Maintain all company files relating to site plan applications, approvals, licenses and permits

* Distribute and collect Construction Quality Inspection Book from the construction team

* Schedule and coordinate meetings, appointments, etc

* Back up Customer Service Coordinator as necessary

* Assist Construction Managers administratively, as needed

* Special projects as assigned by the Director of Construction Operations

Job Requirements

Education and Experience Requirements

* Minimum High School Diploma or equivalent required

* Bachelor Degree preferred

* Minimum 2 years in supervisory capacity

* Minimum 2 years in Construction industry including experience in planning, estimating and critical path scheduling

* Experience with single/multi-family and amenity permitting

* Technical construction project management experience preferred

* Strong organizational and management skills, ability to prioritize and take initiative

* Must be able to read blue prints and plot plans

* Must be detail-oriented team player comfortable working in a fast paced environment with heavy volume workload

* Valid Driver's License with good driving record

* Advanced PC skills Microsoft Word, Excel, and JD Edwards

* Excellent follow-up, communication (written and verbal) and time management skills

* Able to professionally perform multiple detail-oriented tasks with simultaneous deadlines

* Possess strong work ethic, integrity and loyalty

* Team player with the ability to work well under pressure


Daily interaction with various division associates, outside agencies, business partners, consultants and homeowners.

Physical Requirements

This is primarily a sedentary office position that requires the ability to bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less. Finger dexterity required to operate a computer keyboard and calculator.
