JOB SUMMARY:

This position is responsible for managing customer orders from start to finish, from the point of receipt, through and including, order processing, product availability, pricing, contract verification, shipping, invoicing and claim resolution. In doing so, position must effectively and professionally interact with multiple external parties, including but, not limited to: customers, carriers and brokers. As well as internal such as: Product managers, Materials Management, Labeling, Production, Shipping, QC, TS, etc., to ensure shipments are on time and accurate. Position provides information regarding product availability, order status, shipping status and documentation, utilizing email, phone, fax and web portals. Ultimately, this position ensures that customers receive excellent, efficient and courteous service throughout the order process.

ESSENTIAL DUTIES & RESPONSIBILITIES:

1)Efficient, accurate, and timely processing of orders to include, but not limited to, receipt of orders from email, fax or web, verifying contracts, order entry, revisions, PS Hold, Credit Holds, Co-ship, product availability, order confirmation and transportation. Provide professional and courteous communication to customer or broker on all related issues.

2)Profile maintenance to include but, not limited to; new item set up, labeling requirements, shipping requirements, documentation, address changes and pallet requirements.

3)Order shipping: confirm orders in customer freight systems, provide shipment information to carriers and transportation brokers, obtain freight quotes, arrange transportation with customer carriers, consolidate shipments, verify transit times.

4) Invoicing: verify and match BOL's to orders and investigate discrepancies, notify customers and brokers of any CPU no shows, verify with shipping personnel regarding any missed shipments, revise orders as required and maintain reason codes, obtain freight costs from carriers, verify order status and resolve related issues, ship confirm adding associated freight and pallet charges or promotional discounts, match, mail and file.

5)Order Follow up: track shipments as needed, assist Customers with order inquiries, concerns, complaints, and communicate to other departments as necessary, such as Sales, QC, Tech Service, Production, Traffic, etc. Assist customers with document requests as needed such as copies of invoices, BOL's, packing lists, etc.

6) Sales: work with customers to pull in orders from future months into current month for month/quarter and end of the year pushes as directed. Monitor CPU's at the end of every month, quarter and year to ensure timely shipment. Make arrangements to ship if necessary to meet month end requirements as directed.

7) Consignment and Forward warehouses: Manage Stock Transfers, work with warehouses to maintain adequate stock levels, assist inventory personnel in resolving inventory discrepancies. Verify and resolve discrepancies upon receipt of BOL's/Usage reports and process invoicing verifying pricing, quantities, and contracts.

8) Communications: Provide pro-active involvement in solving customer issues via phones, emails and faxes. Work as customer advocate with various departments such as, Sales, Traffic, Production, Product Mangers, Materials Management, QC, Tech Services and Inventory.

9) Other duties as assigned and work over time as needed.

SKILLS & ABILITIES:

Ability to bring together and focus multiple departments / individuals towards common goals. Must have excellent written and verbal communication skills. Ability to manage multiple priorities in an ever-changing work environment. Must be detail oriented, with excellent organizational skills. Ability to perform independently with limited direct supervision. Must be computer literate. Specific knowledge of JD Edwards, Microsoft Word, Excel, and Lotus Notes beneficial. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rates, ratios, and percentages. Ability to read, write, and speak English. Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems and make decisions involving several variables.

EDUCATION & EXPERIENCE:

High School diploma or GED required. Some college preferred.

Minimum of one (1) year of related experienced required. Experience in Customer Service in a Food Manufacturing facility desirable.
