Under the direct supervision of the Office Manager, the Administrative Service Associate provides clerical and administrative support. Performs customer service and administrative tasks including, but not limited to physician scheduling, answering phones, greeting visitors, filing, and scheduling conference rooms. Applications utilized are Word, Excel, Microsoft Exchange and QGenda.

Responsibilities

Maintains physicians schedules on QGenda under the guidance of the Office Manager

and schedulemakers

Communicates effectively with physicians and administrators for schedule changes.

Maintains file and records accurately

Answers phones in a friendly and helpful manner.

Takes ownership of special projects, researches data and follows through with detailed action plans.

Actively participates in problem identification and resolution and coordinates resolutions between appropriate parties.

Performs clerical tasks for various departments when a business need arises.

Greets all people coming into the office for meetings with our staff, assures staff is notified

Signs for deliveries made to the American Anesthesiology office and confirms the appropriate number of packages are received. Delivers package to recipient or supervisor upon receipt of the package.

Reports to work, meetings and professional obligations on time.

Participates in administrative staff meetings and attends other meetings and seminars.

Adheres to American Anesthesiology, Department and HR policies and procedures.

Perform other duties as assigned or requested.

Qualifications

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
