Job Summary

The Administrative Assistant provides support to the Engineering Director and direct staff performing essential work. The objectives and responsibilities for the Executive Assistant cover a very broad range of activities. Some are specific, while most are loosely defined and require flexibility, judgment, and self-management to be successful. Must be extremely trustworthy with sensitive and confidential information.

Ways You Will Make an Impact

* Provide assistance to the Engineering Director by maintaining the Directors' calendar, relaying messages, and preparing correspondence, etc.

* Coordinate travel arrangements, appropriately matching arrangements to the occasion/reason for travel. Review and process corresponding expense report.

* Organize conference calls and video conferences to include multiple countries and time zones.

* Handle high level confidential information deemed sensitive and impactful on company operations, performance, or value.

* Plan and organize meetings and events to include arranging accommodation, meals, venues, and other associated activities. Arrange luncheons for working meetings or visiting guests.

* Compile and Submit weekly report.

* Arrange all company travel which includes flight reservations, hotels, rental cars, etc. while keeping within the parameters of the company's Travel Policy. When necessary, coordinate forms/paperwork to obtain visas or passports.

* Prepare presentations using PowerPoint and other standard software tools.

* Actively participates in Lean and 5S initiatives.

* Performs special projects as required

* Maintain the highest ethical standards, even when challenged from above.

* Understand and live by Esterline's ethics and business conduct policies.

What You Will Bring

* High school diploma

* Minimum 5 years of relevant experience in a manufacturing environment required

* Minimum two years providing high level administrative support to senior leaders/executives in a dynamic work environment.

* Requires experience coordinating meetings and global travel arrangements

* Expert skill level with Microsoft Office products (PowerPoint, Word, Excel, Visio, Outlook) with the ability to provide professional and consistent formatting of documents, presentations and other correspondence.

* Strong organizational skills and the ability to prioritize appropriately.

* Excellent written and verbal communication skills.

* Analytical skills and proficiency with data – logical thinker.

* Active team player with strong interpersonal skills and can-do attitude.

* Ability to work independently on multiple projects with minimal supervision, demonstrating sound judgment and resourcefulness.

* High level of accuracy and attention-to-detail.

* Ability to work/interact with company leadership and managers.

* Self-motivated with a high degree of professionalism, initiative and independence on a wide variety of complex issues

* Well-developed and polished people skills, diplomacy and ability to maintain strict confidentiality

* Ability to handle multiple tasks with interruptions and remain calm under pressure.

* Ability to change direction at a moment's notice. Comfortable with change and ambiguity.

Your Nice to Haves

* AA or BA degree in business or related field preferred

* Administrative support in an aerospace manufacturing environment preferred
