Position Summary

The Photocopy Specialist will assist the National Oceanic and Atmospheric Administration (NOAA)

Copy Manager in oversight of the copy management program for NOAA. Copiers are defined as copying/duplicating equipment that makes paper copies directly without requiring the creation of an intermediate master for each original. This includes copying equipment whose features are combined with all new technology, i.e. fax, scanners, network/internet accessibility, etc. The Photocopy Specialist will implement the current standards and procedures for the copy management for all locations where NOAA has responsibility for these functions and will provide the NOAA Copy Manager with pertinent information and reports concerning photocopier practices, volumes and costs.

Essential Duties and Responsibilities

* Provides NOAA's annual estimates of photocopier costs for the Government Printing Office's (GPO) Joint Committee on Printing (JCP) Report and to the NOAA Copy Manager

* With the NOAA Copy Manager, participates with appropriate Department of Commerce organizations in the development of policies and procedures and performing evaluations, studies, and other photocopier initiatives

* Reviews photocopier practices and procedures for NOAA with the objective of finding opportunities for reducing costs and improving services

* Gathers information from the regional offices including required reports and copier procurements

* Assists with the development and implementation of copy management-related employee awareness programs

* Notifies clients and appropriate points of contact of wasteful or uneconomical photocopier practices.

* Provides client offices with instructions and guidance needed to participate effectively in the NOAA Copy Management Program.

* Interacts with customers to discuss copier requirements

* Provides customers with the policies, regulations and procedures covering copier procurement and usage

* Reviews customer's requests for copiers reviewing at a minimum copy justification memorandum, copier specification worksheets but may include product information, acquisition documents, and lease versus purchase determinations

Skills and Abilities Required

* Excellent communication and negotiation skills

* A working knowledge of high end printing and color technology is preferred

* Must have strong technical skills, including connectivity and digital product knowledge

* Demonstrated ability in time management, planning and organization skills

* Demonstrated experience meeting with the customer to determine needs, solicit feedback, and implement solutions to address issues

* Ability to maintain effective working relationships with others

* Ability to communicate, in English, effectively both orally and in writing

Minimum Education and Experience Required

* Must possess a high school diploma

* Minimum five(5) years of experience

* Proficient in Microsoft Office products, primarily Word and Excel.
