Seattle Vocational Institute is building a new model for the future and seeks a team member with higher-level administrative skills. This is a full time represented classified position in the Administration department at Seattle Vocational Institute, and supports daily operations in administrative services, instructional and academic support divisions. Responsibilities include day to day management of office operations, including budget tracking, records management, maintenance of the Dean's and SVI calendars; events scheduling and regular SVI communications and newsletter production; departmental and institutional collaboration; supervision of hourly office staff; assistance with onboarding for new employees; coordination of SVI, SCC, and community events and initiatives; providing excellent customer service for the administration office and SVI, through in-person and telephone inquiries for information; and various other executive support duties. This position reports directly to the Executive Dean.

Essential Functions:

* Serve as day to day manager of office operations in administration-instruction

* Supervision of hourly employees in the Administration-Instruction office

* Management of office processes and creation of new and improved protocols for:

* Onboard new employees

* Budget and contract management

* Special Projects and Initiatives

* Records and File management

* Supplies procurement

* Event Scheduling

* Travel documentation

* Communication, calendars and reminders for staff and faculty

* Student issues and support

* Coordination with SVI and Seattle Central College Student Services, Instruction, Administration and other departments to ensure effective SVI administrative and service and functions

Required Education, Experience & Abilities:

* Post-secondary education and experience in office and administrative work.

* Proficient computer skills using Microsoft Office software.

* Experience and/or ability to thrive in a complex and dynamic environment.

* Communicate effectively in a courteous, respectful and professional manner, with a diverse staff, student, and community population.

* Excellent English reading and writing skills.

Preferred Qualifications:

* Associates Degree and 4 years continuous experience in office/administrative work.

* Knowledge of Washington State Community & Technical Colleges software: FMS Query, SMS, Secure92, Live25.

* Community college instructional or administrative office experience

* Supervisory experience
