Administrative Assistant, Continuing Education & Organizational Development (180575)

The Administrative Assistant, Continuing Education & Organizational Development, will provide support for the Vice President, Organizational Development and department Coordinators to ensure efficient operations are in place. This support is also extended to Dean, Continuing Education, and Director, Continuing education as needed.

Required Skills

Process communication and information flow inside and outside of the branch.

* Support daily timelines for department programs, awards, contracts, and logistics using databases, spreadsheets and other programs.

* Serve as central point of contact thru phone calls, employees/vendors, emails, and all walk in traffic. This includes back-up support to Faculty Development and Human Resources.

* Maintain confidentiality of sensitive or privileged information.

Provide Administrative Support to staff, employees and instructors.

* Support employees and staff members in scheduling of rooms, procurement of supplies and materials, registration, grading classes, certificates, and contract information for trainers, consultants and vendors.

* Maintain and support established timelines.

Provide customer service.

* Assist staff, employees, vendors, and instructors with questions and concerns.

* Provide assistance and direction about JCCC to new and existing employees.

* Handle unique enrollment situations such as entry to closed classes, waivers and special reports.

Support the planning, coordination and execution of classes, orientations, Professional Development Days, workgroup training, funding, recognition programs, employee engagement and special events.

* Assist with pre-course creation to submit for course building.

* Proof all information entered into course databases, Infoshare, Banner, CRM's, and LMS.

* Track employee enrollments and completion of mandatory training.

* Procurement of supplies, materials, recognition inventory, and catering.

* Utilize JCCC technology resources.

Associate's degree required. Bachelor's degree preferred.
