Plantronics is seeking an Administrative Assistant to handle general administrative support. Responsibilities include a variety of special projects and ongoing tasks, as well as administrative support for the VP of Materials, two Operations directors and their teams. Other duties may be assigned as needed.

The job requires excellent communication skills, attention to detail, organizational skills and follow-through. The ideal candidate is a team player who wants to contribute and make a difference with their skill set, energy and enthusiasm. It also requires the ability to stay focused on achieving results in a fast-paced environment.

Responsibilities

* Coordinate details of onsite and offsite meetings including booking conference rooms, inviting attendees, ordering catering, preparing PowerPoint presentations and setting up necessary equipment/supplies.

* Provide options for travel and assist with booking travel arrangements and making any changes.

* Gather briefing materials for meetings and prepare itineraries for traveling executives. Complete expense reports on a timely basis.

* Research teambuilding activities for various groups of associates; handle bookings with external vendors, open purchase requisitions as needed, prepare communications and process invoices.

* Read, sort and route incoming mail and interoffice documents.

* Compose, copy, and distribute routine correspondence and memoranda, reports, documents, surveys and printed forms.

* Set up, organize and maintain correspondence files and other departmental records so that they are easily retrievable by department members and other administrators.

* Maintain and organize, in a professional manner, personal workspace and shared department spaces such as fax, copy and supply rooms.

* Order, distribute and inventory office supplies.

* Attend training classes to increase knowledge of software programs, company information and time management skills as required to meet the evolving needs of the position.

* Interface effectively with all levels within the organization including Executive Staff, customers, vendors and general associate population.

* Proactively anticipate and address issues within the department.

* Communicate company policies, procedures and processes as applicable.

* Attend to incoming requests with an ability to organize, prioritize and take action in a timely manner.

* Cooperate with Administrative Assistants in other departments to handle temporary work overloads.

* Fill in for Administrative Assistants temporarily absent in other departments, as duties permit.

* Perform detailed and accurate data entry in Oracle database.

* Serve as the communications "hub" for department, ensuring information flow to and from department head and among all staff.

Desired Qualifications

* Highly proficient with the MS Office Suite and Oracle.

* Advanced skills in MS Excel.

* Tech-savvy with regard to collaboration tools, office equipment and devices.

* Excellent judgment, problem solving and time management skills.

* Ability to work independently, handle multiple tasks simultaneously and manage time appropriately.

* Develop and maintain appropriate relationships with co-workers to ensure open informal communication paths exist.

* Ability to use judgement/discretion with regard to confidential information.

* Maintain a positive disposition and a good work ethic.

* Promote company mission statement and values through example.

* Team player.

* 2 or more years of related experience.

* High School diploma, AA/BA degree desired.

* Knowledge of Mandarin language preferred but not mandatory.
