JOB SUMMARY

Job Summary

Provides advanced clerical and para-professional support for one or more of the following specialized library functions: acquisitions, cataloging, circulation, interlibrary loan, or administrative services; helps staff the circulation desk: and performs other routine and/or specialized duties.

ESSENTIAL FUNCTIONS AND DECISION MAKING

Essential Functions

* Provides advanced paraprofessional library support of the following types:

* Catalogs library materials using AACR2 and MARC library guidelines to create, edit, delete and proof bibliographic and item records for the library collection database.

* Processes new library materials; uses Photoshop to create duplicate jackets for AV sets; performs final inspection of barcodes, spine labels, security tags, and bibliographic record.

* Uses OCLC database to order, receive, track, and return interlibrary loan items; notifies customers regarding the status of requested items; prepares and submits interlibrary loan statistics and reports.

* Maintains library patron database; proofs final data entry; verifies residency and updates addresses; files application forms.

* Prepares and mails overdue notices, bills, and court complaints; maintains automated phone notification system for overdue materials.

* Processes reserve books; prints hold notices; notifies patrons regarding reserves via email or regular mail; maintains the hold shelf and reconciles problems.

* Maintains periodical collection; checks in, barcodes, and security tags new arrivals; prepares claims; maintains and de-accessions files of back issues; maintains holdings data.

* Uses online acquisitions system to order and receive books and materials; verifies shipments; makes appropriate returns; routes materials to cataloging staff.

* Mends library materials; corrects barcode and spine label problems; prepares bindery orders.

Provides administrative support for the library of the following types:

* Processes invoices; prepares Oracle requisitions and check requests; maintains financial records; reconciles p-card statements.

* Coordinates purchase of supplies, equipment and services: monitors and maintains supply inventories.

* Maintains database of library donors and memorial books; uses mail merge programs to prepare fundraising letters, bookplates, and other correspondence.

* Proofreads, copies, scans, faxes, and files documents.

* Receives sorts, and distributes departmental mail.

Staffs the public service Circulation Desk:

* Answers and directs incoming calls to appropriate staff.

* Responds to patron inquiries and complaints; explains the Library's policies, procedures, programs, and fees to customers.

* Schedules meeting room reservations.

* Assists patrons using the online catalog, public computers; scanners, copiers, microfilm reader-printer, and downloading e-books and audio books. Troubleshoots basic equipment problems.

* Creates, updates, and maintains patron records; issues library cards.

* Collects, processes, and records library fees and fines; provides receipts and change to patrons.

* Checks materials in and out; processes holds and renewals.

* Empties book drops; inspects materials for damage; processes and routes items to appropriate locations.

* Assists patrons using the public computers; assists patrons printing documents; assists patrons making photocopies.

Miscellaneous:

* Assists with training new clerks and supervising volunteers as required.

* Monitors and maintains office equipment: stocks paper and toner.

* Attends staff meetings and training programs.

* Performs other routine and/or specialized duties relative to area of assignment as required.

Decision Making

* May provide training to new clerks and/or supervise the work activities of volunteers.

* Ability to work with minimal supervision with attention to accuracy, details, and deadlines.

MINIMUM QUALIFICATIONS (Salary is dependent upon qualifications)

Minimum Requirements

* High School Diploma or equivalent is required; Associate's Degree in business or related field is preferred.

* Two (2) years related library or office experience is required.

* Depending on area of assignment, a valid Texas Driver's License with an acceptable driving record may be required.

Core Competencies

* Must be proficient in utilizing Microsoft Office applications.

* Must be able to read/comprehend library policies and documentation. Must be able to prepare and proofread correspondence, minutes, forms, etc.

* Effective verbal and written communication skills are required; must be able to maintain positive working relationships with City departments and personnel, outside agencies, vendors, volunteers, patrons, and the general public.

Physical Demands and Working Conditions

Physical requirements include lifting up to 45 pounds rarely. Subject to vision constantly; handling and fine dexterity frequently; standing, sitting, walking, lifting, carrying, pushing/pulling, reaching, bending, climbing, balancing, hearing and talking occasionally; kneeling, crouching, crawling, twisting and foot controls rarely.

Working conditions involves occasional exposure to infectious diseases and irate members of the public.
