The Associate Manager of Facilities is responsible for maintaining the building's fixed facilities, real property, and related assets. Under direction from the San Francisco HQ Facilities Manager, this Associate Manager of Facilities organizes, directs and coordinates facilities maintenance, safety, and facilities program management functions.

Works cross departmentally to ensure a safe, clean, and effective environment for Salesforce customers, employees, guests, and internal companies. When directed the Associate Facilities Manager plans, organizes, and coordinates the full range of duties related to servicing, cleaning, maintaining, and repairing the company's fixed facilities.

In this role, the Associate Facilities Manager will work directly with the HQ Facilities Manager to facilitate and organize change by planning and executing projects including internal office moves. This individual will partner with and form a cooperative relationship and interface between building management, engineering, and/or those responsible for maintenance and operation of the facility (Building Engineering: including electrical systems, mechanical systems, security contractors, janitorial services, and other various aspects of facility operations). This position will ensure that facilities problems are identified and repaired quickly, will ensure that building management is delivering quality services, and will make sure that all internal customer demands are being met.

Maintains the internal Salesforce Workplace intranet ticketing system daily and completes open tickets in a timely manner with as little disruption to company daily operations. This individual will work to find creative ways to keep operational costs to a minimum and will work outside of the box with team members to improve efficiency and implement new facility procedures.

Manages and executes employee churn and business unit moves. Performs weekly facility walkthroughs while updating repair/task lists. Manages the process to communicate installation and repair dates and times with employees. Liaison between building management and employees.

Job Demands/Requirements

Ability to: Plan, organize, direct, coordinate, and manage work in the assigned functional areas; gather, assemble, analyze, and evaluate issues, data, and other information in order to draw reasonable and fair conclusions and make sound decisions; serve as a credible advisor to the HQ Facilities Manager; maintain records and reports; communicate effectively, orally and in writing; establish and maintain cooperative working relationships.

* Must have the ability to work in a fast-paced environment and meet deadlines.

* Must have excellent verbal aptitude and public speaking ability.

* Oversee maintenance and repairs of real estate facilities.

* Availability to work O.T. hours particularly in support of employee churn moves.

* Provide oversight for facilities maintenance programs.

* Familiarity with corporate purchasing processes.

* Familiarity with CAFM and Work Order Management tools.

Daily Job Responsibilities

* Facilitate daily deliverables for internal SFDC employees' requests, including furniture (tables, chairs, filing cabinets) replacements/needs and building requests (Temperature adjustments-HVAC, key duplication, lighting, etc.)

* Manage and supervise facilities management team, including performance management and employee training and development in department.

* Manage SFHQ facilities maintenance and operations, including Salesforce installed tenant improvements and building systems (HVAC, etc.), security systems and services and janitorial, health, safety and environmental compliance.

* Listen to and evaluate employees' request for changes in procedures, equipment needs or issues regarding existing service. Develop alternatives to meet the requests by evaluating staff and resources available.

* Special projects as assigned by Management.

* Manage and administer ticket submittals for SFDC Workplace in Supportforce/Facilities CAFM system.

* Set up and submit building access forms for after hours work

* Keep track of furniture inventories and the organization

* Coordinate and lead office moves. Assist the HQ Facilities Manager with supervision of all vendors during moves/post move support

* Coordinate relocation service companies which include: Moving vendor, Data/phone patch vendors, I.T. equipment connect/disconnect services.

* Organize pre-move details/verification: Seating, port assignment, phones, keyboard trays, printers, file pedestals, chairs, and other special needs

* Work with business unit representative and Facilities Manager on all move coordination.

Qualifications

* Two or more years of supervisory experience strongly preferred.

* Experience in effectively managing facilities contractors.

* Experience initiating and managing significant capital projects

* Must be competent in the use of corporate administrative tools, Microsoft and Google office tools.

* Ability to contribute successfully to cross functional teams required.

* Demonstrated organizational skills and ability to multi-task required.

* Responsible for the delivery and installation of fixed assets (furniture/on-site technology equipment)

* Self starter: can make decisions on the spot
