Deliverable Role/Responsibilities

The RPM Planner will identify, coordinate, and plan space and programming services on multiple projects as assigned.

Within the assigned business units, can answer: how much space is currently available, what are the workplace conditions, and what are headcount projections by business unit. Specifically, the responsibilities include:

* Provides a single point of contact for business unit-related planning questions.

* Receive and process client move requests.

* Lead and facilitate regular client space solution meetings.

* Summarize findings and recommendations for action or consideration by the client;

* Report the status of major initiatives affecting planning decisions for the sites.

* Develop migration plans and sequencing of group-level and individual moves

* Facilitate and/or resolve planning issues identified in the customer planning meetings.

* Ensures planning is aligned with corporate guidelines, strategic master plans/initiatives, and that all scenarios maximize use of space.

* Recommend, educate and enforce space policies/standards, procedures and protocols and notify client of customer requested exceptions.

* Develop move plans with space assignments, occupancy plans, cabling requirements, IT requirements and construction requirements.

* Receive and process client move requests.

* Proactively manage project-related issues on account or assignment.

* Facilitates project kick-off meetings with internal staff and key stakeholders to ensure responsibilities are communicated and expectations are set and understood by all concerned.

* Actively participates in planning meetings hosted by the client, Occupancy Planning and other key stakeholders.

* Establish move project goals and objectives, making changes where necessary to ensure desired project results.

* Prepare/update project status reports, update tracking reports and maintain files for due diligence and financials.

* Demonstrate a proactive focus on meeting client and project requirements in a timely and cost effective manner.

* Participate in the preparation of various RFPs needed for vendor and contractor services for the complete project.

* Initiate and manage meetings to review move schedules with move vendors and key stakeholders.

* Identify and address areas of concern regarding potential liabilities and risk.

* Perform data input into the CAFM system to maintain occupancy information.

* Develop and deliver required project specific reporting.

* Provide career guidance and development for employees.

* Work order and small project management, including but not limited to furniture reconfigurations and space enhancements.

* Plan, schedule and implement relocations, providing the main client contact with scheduled dates, move instructions, and move orientations for large groups as required.

* Provide general move directions, and be present on campus or at the move site, available to answer questions and resolve post-move issues.

* Assist in developing department-specific Planning Strategies with Senior Leadership.

* Track and report actual seat demand at the group level.

* Review building/departmental specific stacking plans.

* Report the current supply and capacity, and forecasts inventory changes.

* Facilitate resolution of space and facility issues.

* Develop and monitors cost estimates and timelines for projects.

* Monitor layout, design, and space plan of facilities in relation to the move plan.

* Maintain outstanding relationships with customers to understand requirements.

* Apply data and metrics that are important to client and JLL success. Gather and track accordingly.

* Coordinate with client and associates to determine furniture requirements, bill of materials and furniture product availability.

* Lead development of detailed design layouts of new and existing office space and furniture.

* May input and maintain facilities plans on AutoCAD.

* Conduct building audits to verify that employee locations, furniture layout and room configurations are correctly noted on floor plans.

* Monitor and assure compliance with government and site building codes and regulations.

* Client-specific requirements, including particular software, systems, and processes.

* May train, develop, and evaluate JLL associates.

* Other duties as assigned.


To ensure accurate reporting of information, and foster critical relationships between various individuals and organizations, communication channels will exist with:

* Move Coordination team to review and approve moves, develop migration plan and conduct facility audits

* Business Unit leadership to collect headcount forecasts, resolve headcount forecast discrepancies between leadership's numbers and those collected at the group-level.

* Corporate Finance and HR groups to gather forecast plans and Top-Down projections

* Strategic Occupancy Planning to review and resolve planning forecasts, needs, concerns, and issues.

* Collaborate with Project Management and Facility Management

* Workplace Strategy team to understand workplace initiatives and strategies.

* Project management to review stacking strategies and to provide workload forecast related to project moves that are planned to occur based on occupancy plans/strategy.

* Other internal client teams participating in space and portfolio strategies.

* Occupancy Planning team to ensure cross campus/portfolio strategy plans are developed.

Technology Proficient

Ability to utilize software to support planning solutions and communicate ideas clearly with planning team and lines of businesses:

* Proficient in AutoCAD to produce basic test-fits and square foot calculations

* Proficient in Microsoft Excel i.e. (V-Lookups, cell calculations, pivots, etc.)

* Ability to consolidate data and floor plans into Power Point for presentations to client and lines of business.

* Strong ability to work in all of the Microsoft Office suite software technology

Education / Yrs of Experience

* Bachelor's degree in interior design, project management, construction management, architecture or project strategy planning

* Minimum 2 years as Move Manager or related experience.

* Background in project management, construction management, architecture or project strategy planning is desirable

* 4-6 years of facility, project or construction related experience in a Corporate Real Estate environment Proficient in FM: Systems move management module and/or facilities management system


* Strong Microsoft Excel skills

* Strong Microsoft Projects skills

* Ability to utilize the Microsoft Office suite of technologies

* Has successfully managed moves over 1,000 employees

* Background in project management, construction management, architecture or project strategy planning is desirable

* Strong customer relationship management skills

* Strong negotiation skills

* Organizational skills with the ability to identify and manage priorities

* Excellent written and verbal communication skills

* Detail oriented
