Position Summary:

The Facilities Coordinator will work closely with the Facilities Manager to support all facilities activities. The Coordinator will be the first point of contact for internal and external customers seeking support and information from the Facilities organization at Sirius Computer Solutions.

The Facilities Coordinator will provide administrative support to the Facilities Manager, manage office functions including: Work Order coordination, Security badge and access assignments, database management, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services for the Facility staff. Additionally, the Facilities Coordinator, under the supervision of the Facilities Manager, will manage the database to track all outside contractors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.

Primary Duties & Responsibilities

* Assist the Facilities Manager in all aspects of project implementation as needed.

* Support the Facilities Manager with external contacts as needed.

* Manage the Security access-control database in conjunction with the Security Contractor

* Represent the Facilities Department in inter-departmental meetings to support and facilitate

communication and action between departments.

* Coordinate all Facilities activities, work direction, and support systems.

* Supervise and train facility employees and contractors as needed.

* Independently maintain and update administrative policies and processes.

* Set up, maintain, and organize department's central files, information, filing, and messages.

* Assist facilities staff in locating parts, supplies, and materials.

* Prepare and maintain RFP's, bid information, and other contract documents.

* Prepare internal notifications for events supported by the Facilities organization.

* Provide administrative support to the Facilities team.

* Manage the FM request mailbox, receive and assign work request, track work orders,

entering system data and providing the overall system administration.

* Supervise processing of purchase orders, verifying receipts, and forwarding invoices for approval to the Facility Manager for all capital expenditure items related to the department.

* Supervise expense payments by ensuring correct verification of bill accuracy, coding incoming bills and submitting them to A/P on a timely basis

* Prepare spreadsheets to manage projects, properties, vendors, and access reports to accommodate business needs

* Assist with space planning at the Corporate office.

* Assist with the coordination and development of the Corporate office safety team.

* Assist the Facility Manger with providing timely reports reflecting the utilization of office space, actual vs. projected capital expenditures, and other information as required

* Maintain the Corporate office seating charts.

* Coordinate delivery of any certificates of insurance for work being performed at any location as required.

RequirementsBasic Qualifications -

* At least four (4) years of combined experien

* High School diploma or equivalent ce performing Administrative duties and facilities coordination.

* Demonstrated skills with MS Office Suite (Word, Excel, PowerPoint, Outlook) and Visio.

* Demonstrated verbal and written communication skills.

* Demonstrated facilitation, problem solving, interpersonal, and team-oriented skills.

* Demonstrated organizational and follow-up skills, with the ability to manage multiple projects simultaneously

* Accounting experience with the ability to contribute to annual budgets and review invoices for payment.

* Experience using a computerized maintenance management system.

* Knowledge in developing and maintaining lease management spreadsheets and Facility and Maintenance reports.

* Demonstrated ability to perform and manage technically complex projects using independent

judgment and personal initiative.

* Proven customer service skills

* Demonstrated ability to work independently without regular direct supervision, including the ability to recognize and act on opportunities, adjusting direction when the situation warrants

Data Privacy and Security:

* Security is every employee's responsibility. If you are aware of a security related vulnerability or non-compliance with the Information Security Policy or Employee Handbook you must report it to the Corporate Security Team, Human Resources, or a member of Senior Management.

* Participate at hire and annually in the Information Security Awareness training as well as other required training identified by the Human Resources department. Other data privacy and data security related regulatory training may be required based on your role or assignment.

Essential Functions

The position exists to support and execute facilities management solutions for locations across the US, and as such requires the ability to travel to and from company sites and interact with site employees and vendors on an ongoing and regular basis. This position also requires frequent bending, lifting, kneeling, and reaching, and the ability to lift and carry up to 40 pounds.
