General Summary

The Office Administrator will oversee the day-to-day internal office operations with a focus on supporting the CEO, CTO, and Program Manager. The Office Administrator will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, greeting visitors and providing general administrative support to employees.

Essential Job Responsibilities

* Support CEO, CTO, and Program Manager needs around scheduling, travel arrangement, and expense reimbursement

* Develop organizational procedures and systems for office personnel, including filing and scheduling

* Manage employee schedules and troubleshoot scheduling conflicts as they arise

* Order supplies and equipment as needed

* Maintain the office condition and arrange necessary repairs

* Schedule meetings and appointments within the office

* Greet visitors and provide general support to visitors

* Provide general administrative support to employees

* Collect and distribute incoming mail and assist in the handling of out-going mail

* Forward vendor invoices to the appropriate parties for approval and processing

* Coordinate with IT department on network functioning and equipment

* Support hiring needs within the Minnesota office and assist in the onboarding of new hires

Required Qualifications

* Associates degree

* Proficiency in Microsoft Office suite

* Excellent time management skills and ability to multi-task and prioritize work

* Strong organizational and planning skills

* Excellent written and verbal communication skills

* Two years of experience in an office management or similar role

* Experience with scheduling and organizing travel

* Hands-on experience with office machines (e.g. fax machines and printers)

Preferred Qualifications

* Bachelor's Degree

* Comfort with fast-paced environment wearing multiple hats
