JOB SUMMARY

The Intake & Information Coordinator will serve as the point person for the Children’s Services ABA / ESDM case management system (Central Reach), ensuring effective workflow and providing general problem solving in a solutions-oriented manner for providers and clients. Reporting to the Assistant Director, the incumbent is responsible for coordinating the admission and registration of all incoming children/families specifically as it relates to private insurance and Medicaid, and guiding the families and therapists through the forms and documentation required. This role helps ensure the overall success of the program by generating key reports, performing audits, and training staff on the effective usage of systems.

ESSENTIAL JOB RESPONSIBILITIES

  • Maintain professional relationships with both internal and external stakeholders
  • Coordinate intake process for new and transitioning families
  • Maintain case management system, Central Reach, including client medical records, eligibility information for services and insurance eligibility
  • Provide comprehensive therapist and practice support ensuring appropriate and compliant usage of Central Reach including staff training and systems auditing
  • Coordinate initial and ongoing credentialing of therapists with each insurance provider
  • Update and maintain the First Steps matrix with current provider information and manage the provider list
  • Develop and manage Central Reach forms used to capture information from the families
  • Work with therapists and funding source to request authorizations utilizing the methods required by each funding source (insurance plans and Medicaid)
  • Stay current with Central Reach developments and ABA insurance regulations to improve the overall success of the practice
  • Monitor key performance indicators and prepare management reports including but not limited to active client lists, waiting lists, billable percentages, utilization and timesheets
  • Hold regular meetings with billing group and children’s leadership team regarding authorizations, issues and productivity
  • Develop and maintain the Children’s Services intranet via Sharepoint
  • Manage tasks within Central Reach which is the key internal communication tool
  • Update key client information into Salesforce, for tracking and reporting across the agency.
  • Perform other duties as assigned

MINIMUM REQUIREMENTS

Required Education:

  • Bachelors Degree

Other Requirements:

  • Agency required training both online and classroom based
  • Prior knowledge and usage of Central Reach a plus

Minimum Years of Experience:

  • 2+ years of experience in related field
  • ABA/RBT experience strongly preferred

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Knowledge

  • Knowledge of insurance system/process
  • Intermediate knowledge of pertinent medical terminology as it relates to ABA and related therapies
  • Proficiency with Microsoft Office Suite & Adobe Acrobat

Skills & Abilities

  • Strong ability to navigate various databases
  • Excellent communication skills; both verbal and written
  • Ability to foster positive professional relationships with various internal and external contacts
  • Attention to detail; ability to maintain integrity of all information in database and electronic files
  • Excellent time management and organizational skills
  • Ability to successfully work remotely using company provided equipment and/or reliable personal internet service
