401K Specialist

Overview

The 401K Specialist is responsible for the accuracy and timeliness of 401K/403b/IRA/HSA/FSA submissions for the Dominion Payroll client base. This position works to ensure that all retirement/benefit submissions are completed in a timely manner.

Duties and Responsibilities

  • Upload and/or key individual employee contribution elections and 401(k) loan payments on the provider sites. Communicate client confirmations in a timely manner.
  • Setup all employee deferrals as needed or requested by the client
  • Work with plan provider and internal resources to efficiently provide the agreed upon services relative to client sponsored plans.
  • Monitor employees for deferral changes and loan updates and update iSolved with those changes.
  • Take incoming phone calls from all client companies and providers. Resolve customer inquiries in a timely manner and maintain superior client relationships.
  • Conduct complete investigation into potential errors and plan administration issues. Document appropriately and makes recommendations about necessary actions to be taken.
  • Respond to client and provider inquiries related to retirement benefit programs.
  • Manage retirement plans for multiple clients as 360 integration
  • Provide census reports to clients and providers upon request.
  • Work closely with the client contact to build and maintain strong customer relationships and deliver ongoing superior service.
  • Provides data and information to external auditors in conjunctions with annual and periodic audits.
  • Work efficiently and quickly to correct issues/concerns/special requests received by the client regarding the 401K/403b/IRA/HSA/FSA plans
  • Contributes to improving internal processes and tools. Focuses on sharing knowledge with others by training or mentoring.
  • Work with clients to setup WOTC, gather POA and set up WOTC account with states
  • Submit WOTC applications on behalf of clients. Log in to states' WOTC website to check application statuses. Keep well documented record of certifications/denies.
  • Setup all new 401K Implementations. Review new plan documents submitted by Representatives, ensuring plans are complete and ready to setup for the client
  • Coordinating with Representatives or clients for additional information and resolving any outstanding issues
  • Gathers the necessary information to set up retirement plan eligibility and contribution calculation rules in the payroll system
  • Setup SFTP connections as needed for automatic submissions to providers

Preferred Qualifications

  • Bachelor's degree or equivalent combination of education and experience preferred.
  • Four to five years of relevant work experience in payroll and/or benefits environment.
  • Comprehensive understanding of payroll retirement calculations, laws, and filing process.
  • Exceptional organizational skills, multi-tasking abilities along with attention-to-detail and a high degree of accuracy and professionalism.
  • Highly effective communicator, both written and verbal, with the ability to clearly and concisely articulate ideas and concepts to facilitate and sell ideas.
  • Excellent interpersonal skills and ability to build strong relationships at all levels within the company.
  • Ability to identify and understand issues, problems, and opportunities, comparing data from different sources to draw conclusions, using effective approaches for developing appropriate solutions.
  • Self-motivated and thrive in a fast-paced, team environment and able to work effectively without supervision and direction.
  • Must demonstrate capacity for effective action and accomplishment assuming responsibility/accountability for successfully completing assignments or tasks.

  • General knowledge of payroll industry.
