Executive Assistant

In this position, you would fulfill the following essential functions:

* Provide confidential administrative support to the Executive Director by proactively monitoring, reading and responding, as appropriate, to emails and phone calls.

* Conserve ED's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications; and providing calendar support.

* Provide confidential administrative support to Board of Directors and Board Committees by scheduling meetings, taking minutes, managing nonprofit paperwork, verifying bylaws, and board membership rotation.

* Act as liaison between patient operations, support services and administrative support services by scheduling meetings, drafting correspondence and facilitating meetings.

* Create and track monthly expenditures for ED's out-of-pocket expenses. Ensure accurate and timely preparation and payment of expense report.

* Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of corporate records.

* Create and maintain organized filing system for ED's paper and electronic files, ensuring quick and easy access to documents.

* Manage, schedule and coordinate Executive Director's calendar, including scheduling meetings with multiple participants and business travel.

* Provide corporate event and meeting support by coordinating meeting and event space and catering.

* Provide administrative support to various agency committees.

RequirementsThe right individual for this position has a passion for helping others and is able to deal with difficult situations in positive and constructive ways. This position also requires the following qualifications:

* High School Diploma or GED Certificate required.

* Minimum of 3 years experience providing confidential support to executive level management.

* Minimum two years in a supervisory or team leadership role.

* Ability to manage multiple priorities and be highly organized.

* Expert knowledgeable of executive and office support and understands and appropriately applies procedures, requirements, regulations, and policies related to executive and office support.

* Takes personal responsibility for the quality and timeliness of work, and achieves results with little oversight.

* Ability to utilize both oral and written communications skills to effectively communicate with patients, co-workers, community resources, supervisors, and various other individuals encountered in the course of performing work while maintaining patient confidentiality and establishing professional rapport.

* Ability to operate a computer, utilize basic MS Office programs, with expertise in Outlook.
