ABOUT THE ROLE

We are seeking an Executive Assistant (EA) who will be at the center of communications, strategizing, scheduling, planning, and execution for the Chief Executive Officer and Senior Vice President. You will also be responsible for certain scheduling and travel arrangements for other company leaders. The expectation is that you will maintain and manage dissemination of highly confidential communications, and are delegated significant authority to act autonomously and independently with regards to your core duties. This position is expected to significantly improve the operating efficiency of key leaders and the corporate office overall.

We seek someone who is a dynamic, driven, proactive, thoughtful, curious, open-minded, professional, and a quick learner. Experience in inbox management, coordination of travel agendas, and coordination of calls that span multiple time zones with multiple participants will be key. We are looking for a team player who would be willing and open to jumping into building initiatives as part of the broader Cavco operations team. This role is dynamic and we are looking for someone who can juggle many balls and is not afraid to jump into new and unchartered territories.

WHAT YOUR GOOD AT

  • Provide strategic, complex calendar management based on an innate understanding of key priorities and objectives
  • Act as Office Manager for corporate Home Office, ordering office supplies, managing building maintenance, repairs and improvements, and generally identifying efficiency improvements in how the office operates.
  • Organizing and supporting events including scouting for event locations, event RSVP tracking, private dinner bookings, shipping supplies for events, and organizing print-outs
  • Strategize and implement processes to optimize executive's time
  • Assist with commercial loan portfolio management, including rudimentary financial analysis and reporting.
  • Assist with agenda development for leadership meetings and with follow-up tracking (a thought would be to include the idea of Board meeting assistance and planning. Patty is picking up a lot of this, but this position could / should be involved in Board meeting logistics)
  • Processing expenses on a timely basis
  • Plan and manage complex travel schedules to include booking all travel and hotels, directions, commuting time and ground transportation
  • Processing timesheets and expenses on a timely basis
  • Collaborate with other Administrative Staff across the company and other internal/external stakeholders to manage meetings with multiple stakeholders and/or ELT presence
  • Full lifecycle project management -- for Leadership and business unit initiatives -- including setting and enforcing project timelines, identifying and mitigating risks, and holding team accountable to deliverables

WHAT YOU WILL NEED

  • You're highly professional and diplomatic; you know when to ask for help or advice, and are perceptive and practical
  • Building working relationships with key stakeholders. You're extremely people focused while living the Cavco values
  • Demonstrated leadership and/or customer service experience. You're highly responsive with strong interpersonal and communication skills
  • Minimum 10+ years' experience senior leader support experience with some C-level support experience in a complex and highly transformational environment
  • Excellent time and project management skills. You have clear systems and composure to deal with multiple tasks at once
  • Proven ability to understand business priorities in order to independently and successfully manage executive calendar
  • Organizational skills to assist with all the behind-the-scenes magic while providing creative solutions, driving our high-level customer service, and positively impacting our work
  • A strong intellectual curiosity. You're a creative thinker, interested in the bigger picture.
  • Experience in complex calendar management in a matrixed organization
  • Ability to manage executives' workflow and implement processes and systems to help optimize for efficiency
  • Experience leading a team of other administrative support staff or in people management
  • Strong attention to detail
  • Excellent verbal and written communications skills
  • BA / BS degree preferred, but not required
