Overview

CopperPoint Insurance Companies is seeking an Administrative Assistant. In this position, the ideal candidate will serve in an administrative support capacity to the team leader and handle general duties including all incoming and outgoing mail, and serve as the first point of contact to other teams and customers. Must be bi-lingual in Spanish.

Responsibilities

* Provide administrative assistance to the team leader and other team personnel.

* Manage the CopperPoint Loss Run email box, review all incoming mail, directing inquiries to the appropriate official for response, and identifying sensitive issues for immediate attention

* Provide assistance to the team as the first point of contact for other teams and customers; route all incoming calls to the appropriate location, take messages for team members, greet visitors with a pleasant and supportive demeanor, and provide general information.

* Notify team leader of matters pertaining to sensitive team issues.

* Communicate to facilities manager custodial needs and team office courier of delivery services requested by team members

* Performs on-line requisitioning for the team.

* Follow-up on orders placed, resolves problems, and verify receipt of items.

* Monitor and inventory supplies.

* Make corrections and adjustments necessary for accurate records and information including purchase orders, budget vendors, delivery and invoices.

* Handle payment of professional services fees by tracking invoices, verify information with financial services co-worker. Follow up on payment process to ensure invoice is paid in a timely manner

Qualifications

* Must be bi-lingual in Spanish

* High School Diploma or GED, plus two (3) years of work experience in a business environment, required

* Notary License preferred

* Basic filing skills to ensure the accurate organization of files and documents

* Previous successful experience in administratively supporting a team or managed group

* Basic to intermediate skills in the effective use of Microsoft Office applications to create letters, memorandums, spreadsheets, and presentations (WORD, EXCEL, and PowerPoint)

* Prior successful demonstrated experience in operating standard office equipment to replicate copies, fax documents, and secretarial phone system

* Intermediate interpersonal skills to build effective working relationships with other team members and customers

* Intermediate organizational skills to efficiently handle multiple tasks and requests as well as meticulous scheduling records

* Ability to work with minimal direction and/or supervision to anticipate and complete assignments on time

* Intermediate level communications skills in both written and verbal form to effectively create reports, letters, memorandums; and to articulate and comprehend written and spoken instructions
