Position Overview

As Office Clerk, you will work collaboratively with the School Site Unit Director, Assistant Director, and after-school program instructors to run BGCP's after school expanded learning time program. The program is designed to give students targeted academic support, enrichment activities, and homework assistance to improve their school outcomes and interest in learning. The after-school program relies on skilled, energetic staff members who are positive role models. BGCP staff members are individuals committed to youth development, dedicated to quality service, and capable of building positive relationships with youth.

Employment Status: Part Time, 22-25 hours/week with additional hours for training

Department: School Sites

Expected Work Hours: Monday- Friday 1:30-6:15pm, (Exceptions: Wednesdays 12:30pm-6:15pm or Thursdays 12:30pm-6:15pm depending on school district placement), plus a weekly team meeting and professional development training

Compensation: Depending on experience

Locations: Redwood City, Menlo Park, or East Palo Alto

What will you do?

Administrative & Site Management

  • Manage the BGCP office and associated operations during after school program hours
  • Greet, monitor, and track all members and visitors on campus, including parents and volunteers
  • Manage student sign-in and sign-out process
  • Answer all phone calls and return messages in a timely manner
  • Manage office, first aid, and program supply inventories
  • Ensure that the office is neat and organized and fosters physical and emotional safety and customer service
  • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers
  • Manage daily snack process
  • Participate in planning and executing special events and field trips as needed
  • Undertake other administrative tasks as assigned

Enrollment, Attendance, & Data Management

  • Manage site enrollment and daily attendance
  • Manage all enrollment data in Salesforce, BGCP's database
  • Manage site enrollment, attendance, and snack data in District systems for ASES reporting purposes
  • Generate and communicate attendance and membership reports for site leadership staff and to meet ASES reporting requirements

Student, Parent, & School Relationships

  • Build positive relationships with students in the program
  • Support BGCP and school-wide behavior standards and discipline policies
  • Set high expectations for students and demand compliance
  • Supervise youth if asked to, either in the office or as coverage for a classroom instructor
  • Communicate with students and families regarding enrollment and attendance issues
  • Greet and welcome parents into the program on a daily basis
  • Respond to parent and school communication promptly
  • Communicate and disperse information about upcoming events and activities to members, families, and the public. Ensure that all information posted and dispersed is up to date and accurate.
  • Maintain positive relationships with facility managers on campus, such as janitorial staff and school office staff, ensuring that school space is used responsibly by the program.

What qualifications and requirements are needed?

  • Spanish fluency required
  • Keen attention to detail and ability to create systems for efficiency and effectiveness
  • Maturity and strong communication skills
  • Energy, leadership skills, strong initiative, ability to motivate through positive reinforcement
  • Positive attitude, team player, strong customer service orientation
  • Administrative experience with an excellent knowledge of standard office practices
  • Cleared background check & negative TB Test results
  • Mandated Reporter Training certification
