JOB DESCRIPTION

Title: Administrative Assistant

Department/Division: Roberts Ranch

Salary: $14 - $16.00/hr

Status: Regular Full-Time

Supervisor: Chairman

Subordinates: None

POSITION SUMMARY:

The Administrative Assistant performs a diversity of administrative and clerical

duties. He or she provides administrative support for Roberts Ranch. Examples

of work performed may include: administrative functions relative to billing

reconciliation’s and budget posting. Responsible for record keeping,

compiling reports, typing documents, using Microsoft programs. The Admin

Assistant is responsible for answering the phone, arranging meetings, and

maintaining records and files.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Responsible for providing basic and advanced clerical services for Roberts

Ranch.These include, but are not limited to, memoranda, invoices and related

information, and compose general correspondence. Prepare and maintain filing

systems for department and maintain records in accordance with tribal records

management system.Assist in maintaining organizational meeting schedules.

Responsible for general office operations, typing, filing, answering phones,

ordering office supplies; knowledge of common computer software applications

such as: Microsoft Outlook, Word, Excel.

Quickbooks experience is needed for inventory purposes.

Assist the Chairperson in administration and coordination of daily

operations within the scope of duties for Roberts Ranch and granted authority as

outlined in this position description.

Accountable for the inventory and procurement of all department equipment

and supplies.Monitor maintenance and proper operation of all communication

systems and office equipment in department, i.e., telephone, security, office

machines, etc.

Answerable for equipment and supply inventory records.

Performs other related duties as directed by the Chairperson.

KNOWLEDGE, SKILLS, CERTIFICATIONS AND ABILITIES:

Be able to establish and maintain an effective working relationship with

employees.

Demonstrated computer literacy and able to use standard office software.

Must be able to perform duties independently, establishing office efficiency

and set priorities in order to meet deadlines.

MINIMUM QUALIFICATIONS:

High School graduate or equivalent education (GED). Must be familiar with

business office concepts, computer software and professional administrative.

Minimum (2) two years general office experience.

Must be organized and detailed orientated.

Must acknowledge and agree to maintain a Drug-Free workplace as a condition

of employment with the Pala Band of Mission Indians.Must pass pre-employment and

random drug testing prior to job offer. A DMV print-out and background check

will be required.

Indian preference will apply.

OTHER REQUIREMENTS:

All employees are expected to follow the Tribal Employee Handbook of the

Pala Band of Mission Indians and must adhere to any additional applicable

addendums.
