Key Responsibilities

A) Office Assistance and Organization

  • Ensure presentable appearance of reception area and general office
  • Manage office kitchen and related supplies
  • Maintain coffee, tea, and snack supplies
  • Maintain office cleaning materials, ordering as needed
  • Maintain office organization
  • Manage offsite storage unit access and inventory
  • Manage onsite storage, closets, incoming inventory
  • Manage junk removal
  • Assist with meeting setup and cleanup
  • Manage office temperature, working with building staff to maintain appropriate levels throughout the day and as needed
  • Proactively analyze and improve upon related processes as appropriate
  • Resolve office-related malfunctions and respond to requests or issues

B) Reception

  • Open office in the morning
  • Greet visitors and guests and ensure their comfort
  • Alert relevant staff members regarding visitors
  • Maintain reception area, ensuring organization and cleanliness
  • Manage incoming packages and mail
  • Manage and accept deliveries
  • Maintain conference rooms and meeting areas
  • Manage administrative duties, as needed

Key Requirements

  • Relevant experience in office administration preferred but not required
  • An enthusiastic, flexible, and reliable team player
  • Professional and discreet
  • Proficiency with Gmail Suite and Microsoft Suite, as well as basic computer skills
  • Ability to multitask and prioritize in an environment with frequent interruptions
