Duties: This position is responsible for managing and executing logistical requirements and event set up for customer briefings, sales and partner meetings at Client's New York Office. The candidate will also responsible for managing the briefing center facility and systems, as well as operational duties and supporting relationships essential to the customer briefing program. This role is integral to the success of customer experiences at Client and the Customer Briefing Program, which is part of Client's Enterprise Marketing organization.

This position reports directly to the Group Manager, Customer Briefing Program. This role must work independently to define priorities, respond to field requests, and execute successful logistical plans for customer visits, including event set up.

This role requires strong attention to detail and responsive sense of urgency as well as exceptional flexibility, time management, and prioritization skills. This is a customer facing role and will require the ability to interact professionally with Client senior executives, sales teams, and customers from around the world. The candidate will support multiple meetings simultaneously while also supporting projects and collaborating with vendors. Knowledge of the New York hospitality industry and experience coordinating corporate events is desirable.

This position handles New York specific logistics and will be responsible for ensuring that the CEC meeting room, technology, and environment support high-quality customer and account team experiences that meet or exceed objectives.

Responsibilities include:

Acts as vital member of the Customer Briefing Program, taking accountability for the management of a wide range of initiatives. Manages CBP operations with internal partners and external vendors. Responsible for supporting all customer briefings, manages all sales/partner meetings from initiation to completion.

Manage all catering vendors, SLA's, menus, orders, staffing and billing to provide onsite food service for customer briefings, sales/partner meetings Executes briefing room set up for all customer briefings and sales/partner meetings Has a full understanding of Customer Briefing best practices and Client policy and procedures; resolves a wide range of issues in imaginative as well as practical ways Organize and track inventory of supplies and customer gifts Prepare all customer and account team name badges and name plates Coordinate the ordering of catering for all engagements including the setup/breakdown and cleanup Manage all catering procurement details (coordination for delivery, collection of receipts, and recording billing information) Manage pre-engagement arrangements prior to the start of the briefing, which includes meeting logistics – agenda, feedback forms, name plates, badges, A/V setup, pad/pen, etc. and room clean up at the end of the briefing/meeting Provide concierge-style service to all customers; meet and greet customers as they arrive at reception and escort them to the briefing room Handle the distribution and collection of briefing feedback forms, including entering feedback data into the briefing management system Maintain relationship with Facilities management to address facility-related issues or needs (plants, light bulbs, AV maintenance, etc.) to ensure the CEC meets expectations with regard to appearance, cleanliness, functionality and overall quality experience Process and reconcile all briefing related expenses in a timely manner

Skills: Qualifications/Necessary Skills:

Customer Briefing experience and/or event management with content management preferred Familiarity in using a customer briefing database or application Ability to work independently/with a small team to manage a diverse workload Receives little instruction on day-to-day work, and general instructions on new assignments Strong organizational, time-management, analytical skills, detailed-oriented, problem-solver, flexible work style, and is a strong team player Strong communication skills (written, verbal, visual) Flexibility to adjust to changing priorities and handle multiple projects at once Commitment to customer satisfaction General computer skills required with knowledge of Outlook, Word, Excel, PowerPoint Demonstrate a high degree of professionalism at all times (in dress, demeanor and communication) Resourceful, collaborative In person, onsite, daily management required


Education: Bachelor's degree or equivalent experience preferred.
