Job description

We are seeking to fill a high-level assistant position in the New York office to support two executives. The candidate must be computer savvy with a background in managing the day-to-day operations and administrative functions of two busy executives. The position offers the rare opportunity to directly interface with creative visionaries in the fields of architecture, design and real estate and thus requires an above-average aptitude for professional judgment. Candidate must possess a proactive and positive attitude, a thorough understanding of discretion and poise under pressure.

Candidate must have the following qualities:

* Self-starter

* Comfortable with multi-tasking and balancing several time-sensitive and self-set deadlines

* Exceptionally strong written and verbal communication skills

* Analyze, organize and prioritize self-created and self-guided task list

Responsibilities include, but are not limited to the following:

* Proactively manage a demanding calendar and inbox, coordinate travel arrangements, maintain files and contacts, create/proofread memos, retrieve messages and prepare expense reports

* Assist with all preparation for meetings, including, but not limited to the following:

* Researching comparable properties

* Creating and altering multi-tabbed spreadsheets

* Maintaining a logical filing system in a fast-paced environment

* Answer calls and respond to clients in a professional manner

* Other duties as assigned

Preferred Qualifications:

* Bachelor's or equivalent degree required; may consider candidates without a degree given applicable work experience

* 1 to 3 years of experience in a customer-centric business environment with administrative duties, preferably in the Real Estate Industry

* Strong organizational skills

* Ability to interact successfully with both internal and external customers at all levels.

* Proactive nature with in-depth ability to coordinate and effectively manage and prioritize multiple tasks efficiently

* Strong computer skills with advanced knowledge in Word, Excel, Outlook, and Power Point

* Professional demeanor and ability to defuse emotional situations in a calm manner

* Strong interpersonal skills and sound judgment

* Proven ability to work independently with little direction to achieve accomplishments

* Exposure to Adobe Creative Suite
