The Project Coordinator role will be responsible for the coordination, planning, communication, appropriate expense tracking and processing of reimbursement and ongoing program support for Medical Affairs activities which may include support for PACE, Educational Grants, Clinical Studies and Medical Directors Group as well as other like actions as necessary. Coordinators will be responsible for supporting the services necessary to support these activities as well as lead efficiency and implementation projects.

A Day in the Life

* Responsibilities may include the following and other duties may be assigned.

* Provides project or program support to a functional group or business process.

* Monitors program/project/system status, budgets and timetables.

* Applies knowledge of and experience in company operations to assist in the development, implementation and administration of program/system guidelines and procedures.

* Gathers and compiles information for reports.

* Provides technical support, which may include program/system training, program/system documentation, data extraction, data review, tracking and coding.

* May coordinate all aspects of events (i.e. registrations, travel logistics, hotel accommodations, agendas, meeting planning, ordering event materials, catering/reservations, executing contracts, communications, processing payments, etc.)

* Responsible for budget reporting to include tracking of events, processing payments, tracking to rectify expenses and maintaining accruals while ensuring compliance to internal and external requirements.

* Maintain HCP and corporate compliance and ensure related payments are compliant within Advamed Guidelines.

* Maintain on-site product inventory and ship to/from events

* Compile information from multiple sources to generate bi-weekly, monthly, quarterly and yearly reports including budget, event and HCP training.

* Coordinate program surveys and generate reports based on survey results.

* Ensure that contracts, contract renewals, amendments and agreements meet all legal and compliance requirements, are approved by legal, and have proper approval signatures.

* Effectively work and collaborate cross-functionally to support activities consistent with strategy.

* Communicate regularly with internal and external customers to support related services and projects. Maintain metrics where required.

* Lead or assist in developing and implementing departmental process improvements.

* May attend off site functions relevant to position.

* May support other programs as required with like duties as described above.

* Take on other specific responsibilities as determined by management

Must Have: Minimum Requirements

* High School Diploma or equivalent

* Minimum of 4 years of relevant experience; administrative or project support

Nice to Have

* Excellent knowledge of Microsoft Office including Outlook, Excel (advanced), Word and PowerPoint

* Positive attitude and willingness to learn

* Strong planning and organization skills

* Must be efficient at multi-tasking and time management
