Job Description

We are currently seeking an Administrative Assistant to support our Health Services Department in Neenah, WI.

Position Purpose:

The incumbent provides administrative assistance to North American Regional Health Services Director, and Neenah team members for projects, internal control, scheduling, travel, and materials preparation in order to reduce administrative time of professional staff and increase operational efficiency for Health Services. Serves as a virtual support team member for the Roswell based North American Health Services team.

Customers and Customer Requirements:

Key customers include the North American Regional Health Services Director, Health Services team members, EAP Director, and customers. This position also provides back-up administrative support for other Health Services Leadership Team members in preparation of projects, internal control and other organizational reports for Health Services. Other customers include various K-C North American locations seeking medical consultation from the Regional Health Services Director, and community health care providers. Customers expect professional competence, confidentiality, excellent communication skills, and sound judgment from this position. Customers expect Health Services Team Members to be responsive to business needs and credible by being a role model through optimal health practices.

Scope:

This position handles the administrative and project support tasks for the North American Regional Health Services Director and other North American Regional Operations team members to allow them to increase their professional contact time and reduce time spent on administrative details. The incumbent is often the initial contact for the North American Regional Health Services Director with customers, colleagues, and leaders as they call with questions, issues, or requests for service. In addition, this position provides leadership and functional expertise to other support team members.

The essential job duties include administrative assistance in supporting project management tasks, including project plan documentation, preparation of presentation materials, complying with internal control procedures, gathering and analyzing data, developing recommendations and preparing reports to ensure prompt customer service.

The challenge for this position is to balance and manage multiple priorities and know when to involve others in resolution of successful completion of projects and tasks. It requires technical and functional expertise, ability to operate independently and influence without authority. This position requires organizational skills, confidentiality, flexibility, planning, judgment, and time management. This position must be knowledgeable of all departmental processes, procedures and controls and how they get implemented through team members' goals, objectives and behaviors. The incumbent must work professionally and independently with all levels within the organization and demonstrate excellent team work behaviors.

Qualifications/Education/Experience Required:

High school graduate plus five years of office experience is required. Administrative Assistant Associate Degree, certification as a professional secretary or other post secondary education is recommended. An ability to communicate effectively (oral and written) and a thorough working knowledge of office practices, computers and software programs is essential. Willingness to obtain certification in Basic Cardiac Life Support within six months of hire.

Principal Accountabilities:

* Provide administrative assistance to North American Regional Health Services Director and other team members for projects, scheduling, travel, health education resource materials, collation of outcome metrics, and secretarial support.

* Advanced skills using MicroSoft Office applications: Word, Excel, PowerPoint, Outlook, and SharePoint.Administrator of Health Services SharePoint site and content. Capability to develop proficiency in additional programs such as Access, Adobe, HTML, SAS, Medical Database (OHM), etc.

* Responsible for specific and focused paraprofessional project work as requested. Examples include data management on customer utilization rates, etc.

* Responsible for sourcing and supplies needed for daily clinical operations including ordering, tracking of orders, and reconciliation of payment.

* Provide functional and technical expertise and recommend improvements on current and future office operating procedures, systems and technology. Serve as administrative back-up to the other administrative assistant positions.

* Responsible for providing input to and ongoing monitoring of internal control procedures related to the North American Regional Operation Team scope of work.
