JOB SUMMARY

The Administrative Assistant II is responsible for serving as the assistant to the division lead and the primary resource in key division activities. Other responsibilities include maintaining accurate and confidential records and files, and completing business management activities in support of the division.

ESSENTIAL JOB RESPONSIBILITIES

* Serves as assistant to the division lead, including scheduling and maintaining calendar, making travel arrangements, and coordinating execution of payment for expense reports.

* Coordinates office operations, procedures, and resources to facilitate effectiveness and efficiency.

* Assists others with administrative tasks, including making travel arrangements, completing expense reports, and proofreading letters.

* Coordinates the development and distribution of correspondence, invoices, and staff reports.

* Enters agreements into financial and business systems.

* Keeps insurance updated for leases, permits, and other agreements.

* Processes purchase requisitions and invoice payments.

* Maintains filing and upkeep of all documents for the department.

* Routes agreements for signatures.

* Maintains regular and on-time attendance.

* Follows all safety regulations.

* Supports MNAA's commitment to its culture and values (respect, integrity, service, and excellence).

* Maintains accurate and confidential records and files, such as purchase card (p-card) purchases and invoice payments, in accordance with the records management system.

* Responds to correspondences independently.

* Completes business management activities for the division, including monitoring division budgets.

* Serves as the primary resource in key division activities.

* Serves as point of contact for outside consultants, contractors, and vendors desiring to work with MNAA on projects.

* Develops and implements improvements in daily activities.

* Performs other duties as assigned.

* Office Management:Knowledge of general office management practices and procedures.

* Computer Use: Skill in using a personal computer, the internet, and other software to perform job-related functions.

* Managing Workload: Skill in organizing and prioritizing work, handling multiple responsibilities, and meeting deadlines.

* Office Equipment: Skill in using standard office equipment such as telephones, copy machines, scanners, multi-functional printers, and fax machines.

* Confidentiality: Skill in exercising sound judgment and discretion in the handling of sensitive documents and issues.

* Microsoft Office: Skill in using Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint.

* Microsoft Windows: Skill in using the Microsoft Windows operating system.

* Problem Solving: Skill in identifying problems and reviewing related information to develop and evaluate options and implement solutions.

* Relationship Building: Skill in establishing and maintaining effective and professional working relationships with others.

* Communication: Skill in communicating effectively at all levels of the organization and with stakeholders, both orally and in writing.

May assist in the collection of budget data and monitoring of low-level budgets.

PHYSICAL DEMANDS AND WORKING CONDITIONS

* Primarily performed in an office environment.

* Requires occasional walking, stooping, and reaching. Requires frequent sitting, repetitive movements, and feeling. Requires continuous fine dexterity, hearing, and talking.

* Requires occasionally working under time pressure, changing tasks, and working in a noisy or distracting environment.

* Requires frequently multi-tasking, working on a team, and working on tedious/exacting tasks.

MINIMUM QUALIFICATIONS

* High School Diploma or equivalent required.

* 1 to 3 years of administrative, budgeting, and/or related experience required.

PREFERRED QUALIFICATIONS

* Associate's Degree in a related field preferred.

* 3 to 5 years of related experience preferred.

* Driver's license and notary license preferred.
