Position Summary

This position is responsible for performing a variety of administrative functions including clerical activities, scheduling appointments, managing schedules, making travel arrangements, meeting support, expense reporting, itinerary management, vendor management, and event management. In supporting members of the Executive Team, you must demonstrate strong organizational skills and ensure meetings run on time. You will also produce various reports and documents upon request.

Essential Duties and Responsibilities

  • Provide administrative support to Executive Team Members
  • Coordinate and/or collaborate with the Personal Executive Assistant to the Chief Executive Officer as needed
  • Manage calendars, including making appointments and prioritizing the most sensitive matters
  • Coordinate meeting, conference calls, and interviews
  • Providing administrative assistance, such as writing and editing emails, drafting memos and preparing communications
  • Maintaining comprehensive and accurate corporate records, documents and reports
  • Organizing meetings, including scheduling, sending reminders and organizing catering when necessary
  • Performing minor accounting and bookkeeping duties
  • Answering incoming phone calls in a polite and professional manner and accurately taking messages
  • Coordinating travel arrangements (both domestic and international) and create trip itineraries
  • Submit expense reports
  • Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
  • Coordinate scheduling of the meeting spaces
  • Assist in planning of company meetings and events
  • Perform analytic and query work, as well as compile reports based on data
  • Other duties as required

Position Requirements

Education and Experience

  • High School Diploma or GED
  • Associates or Bachelor’s degree in Business Management - preferred
  • Three or more years of relevant experience
  • Excellent verbal and written communication skills
  • High competency level with MS Office PowerPoint, Word, Excel, and Outlook
