Administrative Assistant

@ Madison Correctional Facility

Under the direct supervision of the Director of Nursing and Health Services Administrator (H.S.A.),

provides general secretarial and receptionist services to the healthcare unit.

DUTIES/RESPONSIBILITIES

1. Performs clerical/technical duties.

2. Prepares and types reports/correspondence for the Health Services Administrator.

3. Answers unit telephone, relays messages and transfers calls as appropriate.

4. Develops and maintains filing system for all material.

5. Schedules appointments for Health Services Administrator.

6. Collects, sorts and distributes daily mail.

7. Orders office supplies as needed.

8. Takes minutes of meetings and other dictation as requested.

9. Secures information for responses of inquires.

10. Maintains the confidentiality of all correspondence and files.

11. Approaches change in a positive manner.

12. Makes suggestions for improving work conditions to the Health Services Administrator.

13. Accepts constructive advice/criticism and learns from it.

14. Upon receiving the necessary training and/or instruction, perform other duties as required or assigned.

PHYSICAL DEMANDS

Must be able to ambulate throughout the facility for extended periods of time. Specific vision abilities required by this job include close and distant vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Must be able to clearly communicate orally and via written and typed correspondence and notes using various forms, records, charts, and electronic media.

ENVIRONMENTAL CONDITIONS

Standard medical setting in a correctional facility, which includes daily interfacing with inmates, correctional staff, and health care personnel. Temperature extremes may be encountered while moving throughout the facility outdoors and indoors in buildings without air conditioning.

EDUCATION/EXPERIENCE REQUIREMENTS

The following requirements list the minimum to qualify. An equivalent combination of education and experience may be accepted.

Minimum 2 years secretarial experience. Proficient in the use of computer, copier, and fax machine. Type 60 words per minute. Prior experience with use of electronic medical record system preferred.
