About the Department

The Office of Admissions and Records, an operational unit in the Division of Academic Affairs, promotes student success through services that start with the university application and culminate with graduation. For admission, we evaluate applicants' domestic and international transcripts to accept eligible students. During their studies, we help students interpret enrollment policies, provide degree planning tools, and update and maintain student records to verify enrollment and GPA. As graduation nears, we assist students with applying for their bachelor's degree, offer guidance to meet all degree requirements and verify degree completion. By providing the underlying technology and support needed to facilitate students' academic careers, Admissions and Records acts as a catalyst for degree completion, while upholding established academic standards.

Major Duties

Under general supervision of the Assistant Director of Systems in Admissions and Records (A&R), the PeopleSoft Systems Analyst provides ongoing systems processing, maintenance and functional support for the Admissions and Records' student data system. The incumbent runs daily, weekly, and monthly reports/queries for departments within A&R as well as make user specified changes to any of those queries; aides in the daily and weekly download of data in bulk from third party vendors and uploads that data into Oracle PeopleSoft including applications, electronic transcripts, diploma orders, etc.; aides in miscellaneous processes such as daily printing of admit letters, Enrollment Reporting Services (ERS) data clean up, creating/correcting student records; assists in major processes such as Graduation Clearing, Auto Admissions, Term Activation and others; collaborates with end-users to identify department needs and assists in the development and documentation of system processes and procedures; provides system support, including investigation of reported errors and testing of Oracle PeopleSoft, Common Management System (CMS), and Information Technology (IT) upgrades, fixes, and enhancements to ensure data integrity and ensure the modifications are compliant with A&R's departmental policies and procedures; and perform other duties as assigned.

Qualifications

Equivalent to graduation from an accredited four-year college or university. Certification training and applied experience may be substituted for the required education, on a year-for-year basis up to two years. Equivalent to six months of full-time, responsible experience performing data analysis or related experience using Oracle PeopleSoft Campus Solutions Student Records system.

Knowledge, Skills, & Abilities

General knowledge of PeopleSoft Student Administration as well as functional knowledge of system analysis; general knowledge Higher Education student data is preferred; and knowledge of generally accepted documentation methods. Thorough knowledge of PC/MAC based web browsers and related tools. Ability and specialized skills to: analyze problems and propose effective solutions; understand basic programming concepts and effectively communicate information from Programmers to End Users and vice versa; focus and attention to details, initiative, self-motivating and self-starting are desirable skills. Strong interpersonal skills and the ability to adequately comprehend needs and convey information through both oral and written communication.

Demonstrates a willingness to assist students, the general public, and fellow employees as needed for the office functioning over the annual Admissions and Records processing cycle.

Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds. May require occasional travel.

Employee works in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employee may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.

Pay, Benefits, & Work Schedule

The salary range for this classification is: $3470 - $6297 per month.

The anticipated HIRING RANGE: $3470 - $3974 dependent upon qualifications and experience.

HOURS: Full Time; 40 hours per week; 8:00am - 5:00pm, Monday through Friday.

REG: This is a Regular position with a one-year probationary period.
