Executive Assistant - Manhattan Beach Location

Position Summary: This position will provide advanced, diversified, and confidential administrative support to an executive level professional. The position uses broad and comprehensive knowledge of Firm operations, policies and procedures in performing a variety of routine and non-routine duties. The nature of this position requires the incumbent to make independent judgment decisions regarding the planning, organizing, and scheduling of work to a higher degree than other administrative positions.

Essential Duties and Responsibilities include the following. Core Competency is the demonstrated ability to carry out the primary responsibilities of the job which should be reflected in the essential duties section of the job description.

* Arrange, confirm, and manage an extremely detailed calendar; scheduling complex senior-level meetings and related logistics. Place, receive and manage high volume of phone calls and email.

* Provide billing support to partners.

* Process/format various financial reports and other client correspondence related to the practice as requested.

* Assembles and analyzes information to prepare a variety of documents including agendas, correspondence, memoranda, reports, and presentations. Prepares materials from very rough draft into final materials.

* Organizes large meetings/events including coordinating agendas, planning logistics, meeting equipment needs, and more.

* Answers mail and inquiries on own initiative, follows up with other departments to ensure requests are carried out.

* Manages routine administrative process for the department which may include: ordering supplies, processing travel expenses, processing payments, and researching charges to executive budget.

* Make hotel, airline, car rental and other reservations for executives. Maintain itinerary and keep travel records for executives.

* Participate as needed in special department projects.

* May handle highly sensitive, confidential and non-routine information.

* Adhere to the Firm's policies and procedures, Core values, demonstrate their importance to others, and provide input to management on suggested modifications to Firm policies and procedures as necessary.

* Perform other duties as required.

* 2 year college degree preferred with 2-5 years' experience, or equivalent.


* Advanced level proficiency with a personal computer and Microsoft Office software.

* Superior communication skills, verbal and written.

* Excellent organizational skills and the ability to prioritize and handle multiple tasks.

* Excellent follow-through, follow-up and the ability to bring timely closure.

* Professional demeanor with the ability to work under pressure situations and frequent tight timelines.

* Must be able to interface with various levels of internal and external customers in a confident, professional and non-offensive manner.

* Confidentiality and the ability to handle sensitive information is mandatory.

* Ability to interact with various levels of management.
