Duties and Responsibilities

This is a confidential position having significant access to information involving employee relations. This is administrative work supporating the Senior Leadership Team in the operations of the Citrus County Health Dept.. This is a highly responsible position which requires independent judgment and motivation. Has computer access to program folders. Adheres to Citrus County Health Department Confidentiality, Security Policies and Procedures.

Reviews, analyzes, and prepares drafts of memoranda and correspondence for administrative staff

Researches and gathers data and prepares written reports for the administrative staff, assists in the preparation of community presentations and health education materials

Maintains the calendar of senior management as requested and arranges various appointments at own discretion; schedules the itinerary and makes travel and hotel reservations as requested

Schedules and plans meetings, arranges venue for meetings, reviews and prepares meeting agendas and materials, attends meetings as requested by senior management, records and transcribes meeting minutes, produces requied meeting documents

Files, maintains, arranges for storage, retrieves or reproduces documents, records and reports in electronic and hard copy. Maintains various data bases

Maintains and updates policy and procedure file/manuals

Acts as Nursing/Senior Management receptionist. Answers telephones, takes accurate messages and distributes to appropriate staff.

Ability to listen to what other people are saying and ask questions as appropriate

Knowledge of inventory management

Knowledge of administrative and clerical procedures, systems, and equipment

Knowledge of computer software including but not limited to: word processing, publishing, presentation, data collection and analysis, email

Emergency duty in operation of Special Needs Shelter during declared emergencies is a requirement of this position.

Current State Employees - Salary for current employees is based on employee’s current payband/ paygrade.
