Job Description Benefits Supplemental Questions

This position reports to the Inspector General or designee, and provides administrative support for the Office of Inspector General.

Examples of Work:

* Provides customer service through resolving concerns, performing research, providing referrals and follow up.

* Prepares routine and complex correspondence and reviews for accuracy all documents for the Inspector General or designee's approval.

* Manages the Inspector General's calendar and schedule.

* Assists the Inspector General in compiling and developing presentation materials related to semi-annual updates on the Office of Inspector General to the City Council and the Inspector General Selection and Retention Committee.

* Prepares for and participates in meetings; scheduling locations, preparing agenda, preparing and posting meeting notices, inviting guests, and recording, transcribing and posting minutes.

* Compiles, designs, and edits the Office of Inspector General Annual Report.

* Conducts data entry and analysis of records in support of investigations and preliminary reviews.

* Responsible for handling, documenting and routing incoming OIG hotline telephone calls which includes providing support during the intake process of new complaints.

* Reviews documents and transcribes recorded interviews in support of on-going investigations and intake work.

* Creates pamphlets, presentations, posters and other media to assist the Office of Inspector General in outreach efforts.

* Receives, screens, records, and routes incoming mail and prepares outgoing mail.

* Tracks expenditures against blanket orders, and maintains inventory of supplies.

* Reconciles and pays invoices.

* Maintains administrative files and records.

* Assists with updating the case management system and responding to complainants.

* Serves as the Office of Inspector General's Web Content Administrator, maintaining and updating the Office of Inspector General's website to include posting released reports, and updating contact information and forms.

* Operates standard office equipment and a computer utilizing Microsoft Office software such as Word, Excel, and Publisher.

* Serves as inventory officer.

* Performs special projects and/or other work assignments as required.

Open Requirements/Supplemental Information:

* A four-year combination of education and professional experience providing advanced level administrative support.

* One year of Web content management experience preferred, but not required.

* A valid state Driver's License is required prior to employment and must be maintained.

* Must qualify prior to employment, obtain and maintain during employment a City of Jacksonville Public Driver Certification.
