Administrative Assistant - Projects

Cayuga Medical Associates, a growing multispecialty group practice in Ithaca, NY is recruiting for an Administrative Assistant - Projects. The purpose of this position is to provide strong administrative support to the Project Manager in all facets, while managing the activities of the Project Manager with a high level of efficiency, dependability and professionalism. This role reports to the Project Manager.

Sample of Job Duties:

* Answer phone calls and take messages or locate Project Manager, as appropriate.

* Manage Project Managers schedules, coordinating complex meetings and appointments, as directed or requested.

* Interact with hospital senior staff, physicians, managers, other departments, support staff, and outside contacts/vendors with professionalism and courtesy, acknowledging representation of the department and the organization in all interactions.

* Sort complex data; prepare reports, documents, databases and presentations.

* Author and proofread correspondence and reports.

* Attend meetings, as required, for note-taking. Prepare minutes.

* Maintain a pleasant and helpful demeanor, and present a professional appearance toward all internal and external customers at all times.

* Act as an ambassador for the organization.

Knowledge, Skills & Abilities:

* Excellent organizational skills required

* Advanced skills in Microsoft Outlook and Microsoft Excel required

* Ability to maintain highest level of confidentiality to proprietary information

* Strong ability to follow through with all tasks assigned from beginning to end

* Strong computer skills and Internet research ability

* Must be able to identify and resolve problems in a timely manner

* Ability to design documents, reports and presentations in professional format

* Ability to work independently, take initiative and accomplish tasks effectively

* Excellent interpersonal skills

* Effective oral and written communication skills

* Positive attitude and work ethic with excellent attendance

* Skills in database management and record keeping

* Professional appearance

* Ability to anticipate the needs of Project Manager

Education & Experience:

* High School Diploma or GED required;

* Associates degree in Executive or Administrative Assisting, or equivalent job experience preferred

* Minimum of 3 years experience as an Administrative Assistant preferred

* Demonstrated ability to manage the complexities of support to executive level staff
