Position Overview:

The Special Events Coordinator is responsible for modeling excellent customer service to all staff and customers by planning, executing and supervising system-wide programs for seniors, adults, teens, and children. This consists of procurement of programs for branches and the selection and evaluation of presenters.

The Special Events Coordinator supports and assists in the creation and sustainability of large library special events, assisting library teammates in executing library best practices as needed, as well as establishing and maintaining close cooperative relationships with library teammates and community partners. This is a Full-Time Non-Exempt position with a starting salary of $37,934.00 plus benefits.

Reports to: Community Programming Manager

Essential Job Functions:

* Plays a vital role in providing and optimizing positive library experiences

* Establishes and augments the vision of ongoing library events based on need and opportunity

* Assumes responsibility of coordinating and scheduling library programs in the absence of Assistant Community Department Manager

* Coordinates hospitality features of library special events

* Maintains and builds relationships with special events contractors

* Ensures best practices are carried out in regards to invoicing, purchase orders, e-verification and OSHA standards

* Demonstrates fiscal responsibility in management of CPD Budgets

* Fosters collaborative workplace atmosphere

* Helps develop guidelines and standards for programming in the branches

* Helps plan and coordinate workshops and in-service activities for Library staff

* Identifies trends and templates in events, programs and cultural experiences locally, regionally and nationally

* Oversees quality of library displays, presentations, workshops, and programs

* Trains library staff on programming best practices and procedures

* Performs public relations activities and marketing of programs in cooperation with the Marketing and Communications Department

* Maintains and monitors program calendar interface to ensure quality experiences

* Possession of a valid driver license and a reliable personal vehicle for use in carrying out the duties of this position including transportation of materials and equipment (mileage reimbursed)

Experience and Training:

* Associate's Degree with significant coursework in Communications, Hospitality, Marketing or related subjects required

* Bachelor's Degree in Communications, Hospitality, Marketing or relative fields preferred,

* Successful event planning and execution background required

* Public speaking ability and experience preferred

* Knowledge of social media preferred

* Proven experience in organization skills and project coordination required

* Demonstrated intermediate proficiency with Microsoft Office software required

* Experience with library organization, methods and practices preferred
