Position Summary


The Administrative Assistant is responsible for activities relating to the harmonious functioning of the SNAH in accordance with established protocol, works cooperatively with the all internal and external personnel and stakeholders in the student-centered program, and initiates and implements other activities as directed by the Dean.

Job Responsibilities


* Oversees clinical agency placement process in conjunction with Dean, Director, Department Chair, and Clinical Placement Coordinator.

* Maintains up-dated copies of the student and faculty handbooks and other policies and procedures.

* Maintains annual review of contracts with agencies offering clinical facilities.

* Submits the graduate rosters and coordinates students in submitting applications to take the NCLEX-RN examination and attain temporary permits for practice as graduate nurses.

* Assists in HBU Catalog revisions and website updates.

* Types and submits course schedules for each semester.

* Types and submits special reports, i.e., Board of Nursing, accreditation or School Annual Reports, SACSCOC's Improvement Plans and Reports, etc.

* Assists in planning special events of the School, i.e., Student Nurse Exchange, Global Nursing Conference, faculty/staff appreciation events, Senior Recognition Ceremony for graduating seniors, etc.

* Assists Dean, Faculty and Pre-nursing Advisor with accrediting processes for the University as well as the SNAH.

* Maintains accountability for budgetary guidelines, preparations, monitoring and assisting processes for the department; accountable for expenditures in supplies, learning resources, and maintenance of offices and equipment.

* Assists Dean, Director, and Department Chair with preparation and collection of materials relating to recruitment, promotion, evaluation, and termination of faculty.

* Assists Dean, Director, Department Chair, and Faculty with annual performance evaluation reports; maintains faculty personnel files.

* Records and maintains SNAH, APG, and other committee meetings as directed by the Dean. Director, and or Department Chair.

* Maintains an orderly record-keeping system, i.e., department files, committee reports, student files, records of all meetings, general files, and forms.

* Maintains an environment conducive to learning by promoting adherence to physical facility guidelines for use by students, faculty and staff and maintaining an organized uncluttered office including reception and classroom areas.


* Responds to inquiries and other communication and correspondence as directed.

* Prepares and updates recruitment information for SNAH as directed by Dean, Director, Department Chair and Pre-Nursing Advisor.

* Assists Dean, Director, Department Chair, Pre-Nursing Advisor, and Faculty with, and participates in HBU Freshman Welcome Days and other university events that involve student recruitment and retention.

* Assists with advising pre-nursing, pre-kinesiology, nursing, and kinesiology students in accordance with established protocol as directed.

* Assists Dean, Director, Department Chair, and Pre-Nursing Advisor with evaluation processes by distributing and collecting Graduate Profiles and the Graduate Outcomes Assessment Surveys and filing results of all evaluation activities.


The Administrative Assistant oversees clerical staff and student workers.


The Administrative Assistant is responsible to the Dean of the School of Nursing and Allied Health.



The Administrative Assistant is expected to be able to present a positive image of SNAH and the University and possess strong organizational, time management, and communication skills. This person must be have excellent interpersonal relationship ability and be able to work effectively and efficiently with deadlines and unforeseen circumstances, maintaining confidentiality with students, faculty and record keeping. Additionally, this person must have extensive information technology skills, working knowledge of Microsoft Suite, including Excel, Word, Power Point, Access, and Publisher; and must be able to transfer current computer skills to a working knowledge of the University's information technology such as Internet Banner, Husky Net, and Argos.


A Bachelor degree is preferred.


* Must be able to walk about campus

* Lift equipment and materials (up to 20 lbs)

* Operate office equipment and copier

Work may include evening or early morning hours for special events.
