Herriman City is accepting applications for an Executive Secretary for the Herriman City Police Department. Provides high-level support to the Administrative Police staff in project development, tracking and completion. Ensures complete and accurate reports and information for high-level meetings and presentations. Coordinates schedules and projects.


Works under the direction of the Deputy Police Chief


* Provides administrative support and project-specific assignments and tracks all administration projects and activities for the department.

* Manages and tracks department assets and property.

* Required to coordinate office resources to efficiently accomplish all assignments.

* Coordinates responses and information requested by residents and customers of the Administrative Police staff. Ensures timely and accurate information to customers and the department is meeting their needs.

* Compose letters, presentations, spreadsheets, and documents for events or communication meetings.

* Required to attend certain high-level meetings with public and private officials. Takes notes and creates projects lists during the meeting for coordination and completion.

* May attend City Council meetings, retreats, neighborhood meetings, and other meetings and events where requested to attend and participate, during and after normal business hours

* Analyzes, monitors, and suggests improvements for internal processes to management.

* May be required to implement procedural and policy changes to improve operational efficiency

* Prepares operational and statistical reports and schedules to ensure efficiency

* Provides backup support for GRAMA records management.

* Assists in the registration of sex offenders.

* Provides fingerprinting services for residents.

* Maintains certifications and requirements necessary for fulfillment of job responsibilities.

* May provide customer service and support as needed.

* Subject to weekends, holidays and after hours assignments and callouts as needed.

* Coordinates prescription drug disposal drop box.

* Performs other duties as needed or assigned.



* High School Diploma or G.E.D.


* This is a high-level administrative position; 6 years of administrative experience.

Preferred Experience:

* 2 years' experience coordinating Police Department tasks.


* Requires a valid Utah Driver's License.

* Must be able to pass a pre-employment drug test, background check, driving record check

* Must pass bureau criminal identification, Utah criminal justice information service certification within 1 month.


Knowledge of correct English usage, spelling, vocabulary and arithmetic; general office practices, procedures and equipment. Ability to exercise initiative, independent judgment and to act resourcefully under varying conditions; strong communication skills and the ability to communicate effectively verbally and in writing; ability to establish and maintain effective working relationships with fellow employees, elected officials and other agencies of the public; ability to work independently and prioritize daily duties; establish and maintain comprehensive records and files. Ability to analyze problems, make decisions, plan and organize, time management, delegate authority, and adapt to office situations.

Intermediate computer skills with Microsoft Word, Excel, and PowerPoint with the ability to use any software required.

Working knowledge of administrative procedures; of legal processes associated with the maintenance of public records, documents, and writing technical and legal documents; interpersonal communication skills, knowledge of accounting, clerical practices, business and management principles. Special Qualifications:

* Must be able to type 65 wpm

* May be required to become a notary public and therefore bondable

* Must possess a valid Utah driver license

* Must pass a pre-employment drug test and a background check

Work Environment:

Employee performs in a typical office setting with appropriate climate controls. Great mental effort is required daily; moderate mental pressure and fatigue exist during a normal workday due to moderate exposure to deadlines; tasks require variety of physical activities, not generally involving muscular strain, such as walking, standing, stooping, sitting, reaching, talking, hearing and seeing. Rapid work speed required to perform keyboard operations. Common eye, hand, finger, leg and foot dexterity required. Mental application utilizes memory for details, verbal instructions, emotional stability, discriminating thinking and some guided problem-solving.
