Performs under minimal supervision general secretarial and administrative duties such as managing and scheduling complex calendars; handling all training class and meeting arrangements; coordinating departmental functions, preparing and distributing materials for meetings and/or training classes; and supporting administrative needs related to department boards and committees.

* Develops, coordinates, and maintains filing system for all documents and materials.

* Copies documents and materials as needed, to include training materials, meeting materials, reports, etc.

* Maintains and updates KRONOS time management system.

* Sorts and distributes department's mail.

* Enters expense reimbursements, purchase orders, and check requests into SAP; tracks expenses and payments.

* Receives and screens telephone calls using knowledge of department practices.

* Orders supplies and maintains/manages inventories.

* Interacts with vendors and facility management to coordinate facility projects and maintain department's equipment, rooms, and environment.

* Maintains Folder of current Board documents

* Assists with processing all new hires to the department: schedules interviews, assures completion of application and related documents.

* Orders equipment and supplies for new hires. Assures office readiness, network set-up, and mailbox availability.

* Provides room set-up, working equipment, and catering as requested for training classes, meetings, and events.
