Benefits Assistant

Position Overview: Processes employee benefits elections and related participant, dependent information; informs employees of enrollment eligibility and verifies validity of eligibility; provides liaison with third party benefit plan providers, resolving data discrepancies and claims appeal issues; maintains benefit records. Works in HR information management system and external Benefits Administration system to add, change or terminate benefit coverage and respective payroll deductions.

Reports to: Director, Compensation, Benefits & HR Systems

Directs Reports: None

Major duties:

* Generate reports that determine newly benefit eligible employees for the coordination of New Hire enrollments

* Coordinates the distribution, by working with 3rd party vendors, for new hire benefit enrollment information to eligible employees

* Determines employee benefit eligibility by looking up information in computer systems

* On a weekly basis, loads employee benefit information, using Excel (.csv) files, into the HR information system

* Validates dependent information ensuring all H&W plan participants meet eligibility requirements

* Mails employee benefit information to employee home address as well as receives information via mail, fax, scan and email

* Provides administration and entry for Qualified Medical Child Support Orders (QMCSO)

* Provides Leave of Absence administration by determining eligibility, sending & filing of employee notification and billing for past due premiums

* Provides administrative support by ordering, mailing, emailing insurance cards, summary plan descriptions, and other benefit documents

* Answers & responds to phone calls/emails from employees and spouses regarding H&W benefit plans

* Using the HR information system and Benefit Administration systems, run reports to determine a variety of counts such as headcount and participants by plan type

* Performs filing of paperwork (benefit information) into the employee's benefit personnel file

* Performs other duties as assigned

Qualifications and Skills

Required:

* High school diploma with 4-6 years related experience

* Must be able to contemplate future dates to ensure monthly procedures and processes are completed in advance

* Must be organized and understand network file sharing; is able to quickly retrieve files and information from the company's network

* Intermediate to advanced-level user of Microsoft Office software, including Microsoft Excel, Word and PowerPoint; experience pulling and retrieving data from a large human resources management system

* Ability to maintain confidentiality of sensitive employee data

Preferred:

* Some college or specialized training pertaining to human resources, employee benefits

* Experience working an employer's medical, dental, vision, life & disability insurance claims or health care and benefits procedures

* Familiarity with the development of employee benefit communications, employee benefit orientation

* Bilingual (English/Spanish)
