Medical Records Coordinator ( RN / LPN ) Must be will to work the floor as needed

The Medical Records Coordinator is responsible for the successful integration of electronic medical records. The primary function of the Medical Records Coordinator is to work with the physicians, office staff and nursing management team to optimize the utilization of the electronic medical record.


  • Ensures that information contained in the record is complete, accurate and only available to authorized personnel.

  • Keeps abreast of any new regulations as it relates to medical records enacted by Medicare, Medicaid and other insurance companies.

  • Assists nursing staff in maintaining accurate medical records.

  • Routinely evaluates the accuracy and completion of records.

  • Assists physicians, nursing staff and other various departments with the EMR system to ensure the database/record is complete and accurate.

  • Conducts initial analysis on all types of medical reports to verify completeness by reviewing the entire medical record.

  • Performs audits to detect and address any delinquent or incomplete records.

  • Responds accordingly to medical records requests under the guidelines set forth under federal and/or state regulations.

  • Reviews deficiencies on all records and assists in making corrections such as obtaining histories and physicals.

  • Assists Nursing Management Team with preparation for long-term care survey and attends survey training. Interacts with state surveyors as instructed or needed.

  • Assists in notifying physicians when orders are to be updated or resident visits are overdue.

  • Assists in thinning of active resident charts to ensure the medical chart/record only contains documentation necessary for treatment and to prevent the chart/record from becoming damaged.

  • Manages the inventory of nursing forms needed for resident records, charting and documentation purposes.

  • Completes accurate billing on a timely basis for all nursing supplies used.

  • Assists in obtaining necessary information from hospitals, other institutions, and physicians.

  • Processes all outgoing mail for the nursing department.

  • Ensures all medical records and information are kept confidential.

  • Documents on medical records as directed.

  • Cleans and stores equipment properly. Tags and stocks supplies as instructed. Maintains clean working areas and supply rooms at all times.

Graduate of an accredited school of nursing.

Current active Registered Nurse or Licensed Practical Nurse

CPR Certification

Must have 2 (two) to 3 (three) years of Electronic Medical Records (EMR) experience.

Knowledge of federal/state regulations.

Ability to interpret and apply knowledge of regulations and policy to direct care staff to insure compliance while maintaining consistency and fairness.

Must be proficient using Microsoft Office.
