About the Position:

The Program Coordinator provides support to the entire department. Oversees front office reception area duties and regularly interacts with multiple constituents including students, faculty, staff and the general public. This person is the first point of contact with anyone who calls the office or comes in person. Receives guests and directs them accordingly. Provides wide-ranging administrative support in areas of program operations, admissions, events and faculty/classroom support.

Essential Functions:

  • Coordinates reception area coverage, answers incoming phone calls, responds to general email inbox inquiries, greets and directs all in-person visitors.
  • Provides support for the day-to-day program operations. Prepares beginning and end of term documents in a timely manner. Monitors and coordinates student background checks, liability insurance, transfer credits, transcripts, database records and credit card payments. Maintains and procures course materials, office and classroom supplies. Assists faculty with copies as needed.
  • Enters admissions data including background checks and liability insurance documents. Runs reports and monitors and relays status of applicants to Program Specialist and Program Director. Assists with PONI day interview preparation and operation.
  • Supports faculty in preparing for large group advising sessions. Generates student/faculty photos for digital frames, non-curricular email announcements, and graduation cards. Supports faculty in preparing for faculty orientation sessions for all adjunct faculty. Supports faculty in extensive data entry for all CACREP Key Performance Indicators.
  • Provides support for guest lecture events, Advisory Board events, faculty workshops, and counseling meetings. Maintain professional and student ListServe for email announcements; organizes CEU files; submits and coordinates printing, catering requests and room reservations.
  • Occasional evening/weekend will be required for special events.

Job Requirements:

Education and Experience:

An Associate’s degree is required. A Bachelor’s degree is preferred.

Three years work experience is required. Experience working in office administration is required.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Advanced knowledge of Microsoft Office is required. Experience using PeopleSoft is preferred.
