Position Summary

The Account Services Representative responsibilities include, but not limited to, invoicing, running reports, compiling month-end data, checking customer guidelines, copying, printing and scanning documents and communication and staff interaction to assure accuracy.

Position Responsibilities

* Preparing disclosure certificates in-house or through WelcomeLink's web interface (resale, refinance, modification, condo questionnaires) per title company and mortgage company requests.

* Collecting association assessments and fees and management company fees.

* Analyzing and reviewing account notes and violations for disclosure certificate preparation.

* Comparing title company requests to database ownership details, records, etc.

* Communicating with title companies to ensure timely and accurate delivery of disclosure certificates.

* Ensuring that all documentation is included in the disclosure certificate package.

* Working with Association Managers for preparation of questionnaires.

* Working all WelcomeLink queues and escalations and issuing timely responses or trouble-shooting issues as necessary.

* Maintaining daily log, records, and forms as necessary.

* Making all appropriate notations in accounting systems pertaining to disclosure certificates processed.

* Maintaining the highest level of customer care while demonstrating a friendly and cooperative attitude.

* Working with Business Center staff to assure timely scanning/uploading of Association documents, as needed.

* Assisting Accounts Receivable staff in processing property settlement and closing paperwork.

* Assist Billing staff in processing assessments and delinquency notices.

* Acts as Account Services backup for all support functions.

* Consistently adheres to business procedure guidelines.

* Demonstrate flexibility and has the ability to work in multiple tasks.

Operating Skills, Knowledge & Abilities.

Education/Training: High school diploma or equivalency. 2 to 3 years' experience in an office environment performing similar tasks preferred. Experience in Property Management industry a plus.
