The University of Illinois at Chicago (UIC) Department of Pediatrics seeks a full-time Medical Education Program Coordinator to facilitate the recruitment process, compliance, and collaboration for our ACGME accredited fellowship programs.

The Medical Education Program Coordinator works closely with the co-directors of the Division of Education and the fellowship program directors for each program and is responsible for reviewing applications, coordinating recruitment activities, maintaining compliance with program policies, purchasing items as needed for fellowship activities, maintaining fellowship budgets, and assisting in onboarding of fellowship candidates to the Pediatric programs. The program coordinator is also responsible for collaborating with the program directors to ensure that the programs all meet or exceed accreditation requirements.



* Review and monitor applications

* Update website and prepare recruitment materials

* Schedule interviews, coordinating with applicants, faculty interviewers and fellows

* Coordinate interview day

* Coordinate rank list meetings


* Track and monitor fellow compliance with UIC, UI Health and ACGME requirements

* Maintain educational files for fellows including (but not limited to) contracts, evaluations, certifications and educational sessions

* Update fellowship data to ensure ACGME compliance at least annually


* Coordinate with non-UIC faculty and staff to schedule meetings, develop fellow clinical schedules, and monitor attendance at fellowship educational activities

* Support Division of Education co-directors in scheduling, preparing for and documenting division activities


* Purchase needed items for fellowship programs and staff, and maintain documentation to ensure compliance with UIC policies regarding purchasing

* Maintain updated budgets for each fellowship program and reconcile with expenses


* Coordinate all onboarding activities for new fellows between fellows, program directors, UIC GME and ACGME

* Schedule and facilitate all activities for new fellow orientation

* Coordinate with non-UIC sites for onboarding activities as needed

Educational Activities

* Schedule all clinical assignments for fellows

* Schedule and arrange all educational sessions for fellows

* Develop, maintain, and monitor all evaluations of and by fellows, faculty, fellowship programs and rotations

* Perform other related duties and participate in special projects as assigned.


Minimum Acceptable Qualifications:

1. High School Graduation or equivalent

2. Any one or any combination of the following, totaling four years (48 months), from the categories below:

a) progressively more responsible clerical or secretarial experience, including background in electronic word processing and database management systems

b) college course work leading to a major in medical education, education, communications, public relations or similar area of study

* 30 semester hours equals 12 months

* 60 semester hours equals 24 months

* 90 semester hours equals 36 months

* 120 semester hours or a Bachelor Degree equals 48 months

3. Work experience totaling 12 months comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program

Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.

Proof of Illinois residency is required within 180 days of the hire date should an offer of employment be made in this classification title.
