Off-Site Event Planner for Trillium Brewing Company

We are seeking a motivated Off-Site Event Planner whose dedication and initiative will help propel the company to achieve its most important goals by supporting the administration of our off-site events. This is an awesome role for an Event Planner who loves connecting with people, has excellent customer service skills, and enjoys craft beer!

This position is responsible for fully managing numerous on premise and off site events simultaneously. This includes full ownership of an event from initial planning stages through on-site execution. The candidate will be highly experienced in event planning, project management and managing a team in order to successfully execute events.


20-35% of the time

Essential Job Duties and Responsibilities:

Sales Generation

* Follow-up on event inquiries and generate new event business through various mediums to include: inquiries via the Trillium website, building relationships through social media forums (Facebook, Twitter, Instagram, Linkedin), attending local events, and asking for referrals from current and past customers

* Customize and create event packages

* Validate financial process- deposit collection, event, and final payment

* Create and sustain productive relationships and negotiate contracts with event-related clients, vendors, companies, and supporters


* Ensure highest level of service to our clients

* Manage staff responsible for private events

* Conduct pre- and post-event evaluations and report on outcomes

* Proactively handle any evolving issues and troubleshoot any emerging problems on the event day

Planning and Organizing

* Balance incoming leads, prepare outgoing contracts, and manage day-of setup and staff communications, ensuring deadlines and budgets are adhered to

* Develop & execute event strategy objectives

* Plan and manage events, including timeline/schedule, logistics, registration management, speakers/VIPs, vendors, and on-site execution

* Work with clients throughout the planning process, including negotiating and finalizing contracts, eliciting feedback, and tracking and reporting on ROI

* Ensure quality standards are maintained via QC and extreme product care

* Collaborate with Sales team and Marketing team

Additional duties may be assigned as necessary.

Qualifications/Desired Skills


* Minimum of 2 years of experience within the events industry

* Experienced in building and maintaining registrations sites

* Experience managing a team (overseeing a team to fully execute an event)

* Impressive portfolio of previously managed events (weddings, meetings, parties, corporate events)

Knowledge, Skills, and Abilities

* Extensive knowledge of computers, including Microsoft Office

* Strong project management skills

* Ability to prioritize and handle multiple tasks with minimal supervision

* Detail oriented work habits and strong organization skills

* Ability to adhere to company standards for response times and deadlines

* Must be willing and able to travel

* Excellent communication and interpersonal skills with ability to build productive business relationships

* A deep passion for craft beer is a plus
