Medical Affairs Global Congress Operations Specialist

This position will provide project management and operations support for Global Medical Affairs Congress Strategy and Planning

Duties and Responsibilities:

  • Management of logistics and deliverables for Medical Affairs congress presences at global and regional medical meetings
    • Maintain master congress meeting calendars, schedule required pre- and post-congress meetings for internal employees, manage room reservations for ancillary meeting space and private corporate meeting space
    • Create and track internal timelines for generation of congress materials including exhibit show schedules, tangible print items and digital materials
    • Proofreading and perform a thorough QC check on all congress materials to ensure information is accurate, consistent across all program-related assets, and complies with all regulatory and legal requirements
    • Facilitate and track review of all congress-related internal and partner materials through the respective review committees
    • Liaise with external vendors to review project timelines, contract MSAs and SOWs, and meeting logistics in advance of each congress
    • Track budget accruals and prepare the associated budget status reports for all congress-related expenses
    • Assist with scheduling, agendas, minutes, and slide development for congress prep meetings within Medical Affairs and larger cross-functional teams as needed
  • Develop and maintain medical congress systems and databases (e.g., Global Congress Dashboard, PowerBI metrics dashboard, tracking spreadsheets, Apptus submissions)
  • Assist with special projects to support the overall medical strategy for pipeline programs and general operations support for Medical Communications and Medical Affairs teams
  • Identify opportunities for continuous improvements and efficiencies


  • Bachelor’s degree or higher, life sciences preferred
  • 2 or more years of biotech or pharmaceutical experience
  • Strong project management skills, with the ability to effectively prioritize and execute efficiently when priorities shift; Project Management Certification (PMP) is a plus
  • Excellent attention to detail with experience working both independently and in a team-oriented collaborative environment
  • Demonstrated independent problem-solving skills
  • Strong written and oral communication skills, with demonstrable ability to establish relationships with cross-functional stakeholders and external partners
  • Experience working with external vendors is preferred
  • High level of proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook
  • Experience with Adobe Acrobat Creative Suite (Photoshop, Illustrator, InDesign) is preferred, experience with Smartsheet, SharePoint Online, and ECMS is a plus
  • Job may require up to 5% domestic travel
