Senior Administrative Assistant / Day / 40 Hours / BWH Neurology

Provide support to the Department of Neurology Research in a variety of tasks. This position acts as the liaison between Neurology Research and other BWH departments such as HR, the International Office, Sponsored Staff, and the Harvard Medical School Department of Faculty Affairs.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

1. The coordinator engages in extensive contact with a variety of personnel at all professional levels from both inside and outside the hospital, utilizing independent judgment, a professional manner and appropriate confidentiality

2. Acts as the primary contact with many hospital departments including Human Resources, Sponsored Staff, Payroll Offices, Benefits Offices, and Harvard Medical School Office of Faculty Affairs Office

3. Manages hiring of all incoming monthly and weekly new hires

4. Maintains multiple personnel data bases and spreadsheets

5. Oversees the credentialing process for monthly paid employees for any Neurology Research appointment

6. Conducts Departmental Orientation

7. Manages all job postings for Neurology Research

8. Other duties as assigned by the Administrative Director for Research

9. Will be cross trained in visa and sponsored staff processes

QUALIFICATIONS:

High school diploma or GED required

Associates or 4-year college degree preferred

Minimum 3 years similar administrative experience with increasing level of responsibility and independence, preferably in a research setting

SKILLS/ ABILITIES/ COMPETENCIES PREFERRED:

Knowledge of research credentialing processes

Knowledge of visa guidelines and applications

Knowledge of hiring processes

Ability to manage multiple tasks effectively, following established protocols, and work within systems

Strong organizational, coordination and judgment skills

Ability to prioritize effectively

Ability to problem solve and troubleshoot

Ability to analyze a situation and determine best course of action within established guidelines

Advanced computer skills

Ability to use all applicable applications at highest competency level

WORKING CONDITIONS:

Variable workload in fast paced environment may cause frequent interruptions and the need to shift from task to task prior to completion

Work will be conducted in a busy open office suite and near a research laboratory environment
