Exela Technologies is looking to fill a full-time Front Desk Coordinator - Legal position in Boston, MA. The schedule will be Monday - Friday, 8:30 a.m. - 5:00 p.m. The Front Desk Coordinator duties include; greeting and directing clients and other visitors to the Firm, route incoming calls to appropriate individuals as well as schedule conference rooms, order food/beverages for all meetings, back up for A/V meetings and any other coordination of office events. This person will assist in special projects for other teams as needed. Candidates must have outstanding communication skills, energetic personality, approachable and able to build a professional rapport with people at all levels.

Essential Functions & Responsibilities

* Manage front desk by answering inbound calls, greeting visitors, and directing guests

* Monitor visitors' access through security access system

* Schedule all office meetings, oversee conference room bookings and food orders, and assist in A/V meeting setups as needed

* Ensures cleanliness of lobby area and conference rooms in the lobby area

* Assist with administrative overflow as assigned by the office manager

Qualifications

* Two-three years of receptionist experience in a professional office setting

* Minimum 6 months legal experience required

* Excellent Basic knowledge of Microsoft Word, Outlook, and Excel

* Provides high-level client service by possessing and utilizing strong telephone and interpersonal skills

* Exhibits effective communication skills by demonstrating tact, diplomacy, and discretion when presenting information and responding to questions from clients, attorneys, managers, etc.

* Works to efficiently produce work product with a high level of attention to detail; reviews and proofreads documents for grammar, spelling, readability, etc.

* Demonstrate a professional demeanor at all times

* Ability to prioritize work and manage multiple priorities simultaneously

* Maintain reliable attendance record and punctuality

* Demonstrate the willingness to undertake additional responsibilities and assist others when requested

* Embraces change and adapts well to new environments

* Enthusiastic and passionate

* Sitting or standing/walking for long periods of time without accommodation
