Facilities Data Quality Analyst Supervisor

The Lemuel Shattuck Hospital under the Massachusetts Department of Public Health (DPH) is seeking a dynamic Data Quality Analyst supervisor (Management Analyst III) for the Facilities Management Department at the hospital campus in Jamaica Plain.

The Facilities Data Quality Analyst is responsible for Facilities Department programmatic review and analysis. The individual in this role develops, analyzes and manages reporting processes used to demonstrate achievement of performance goals and compliance with applicable standards. Activities support the Facilities program through participation in annual, semi-annual and quarterly planning activities. Coordinates staffing solutions associated with MassCareers, vendors and contracts.

Please note: The shift hours for this position are from 8:30 a.m. to 4:30 p.m.

(37.5 hours per week). Days off are Saturday and Sunday.

Duties and Responsibilities (these are a general summary and not all inclusive):

  • Provides administrative and programmatic support to the Director of Facilities Management and Superintendent of Buildings and Grounds.
  • Supervises and delegates assignments to the Management Analyst II and Office Support Specialist II as required.
  • Responsible for all aspects of a Work Order database
  • Facilities Department point person for the hospital-wide Performance Indicator program for Facilities and EVS.
  • In collaboration with the Director of Facilities Management, develops and revises written processes documenting hospital-wide/departmental processes and workflow (for staff and vendors). Ensures departmental goals and objectives are adhered to and met.
  • Keeps current database used to track active employee/vendor information
  • Ensures hospital telephone directory is updated monthly.
  • Point-person for maintaining the proximity card key system and its respective database.
  • Ensures office staff are trained on system functions, including but not limited to activation and deactivation of cards.
  • Serves as Human Resources liaison for the Facilities and EVS Departments. Completes tasks within MassCareers related to hiring.

Required Qualifications:

  • Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specification, standards, and guidelines governing assigned activities
  • Adept at analyzing and determining the applicability of data to draw conclusions and make appropriate recommendations; perform calculations using formulas to solve problems
  • Ability to work independently; use critical thinking to accomplish tasks when few precedents or guidelines are available.
  • Aptitude for gathering information through questioning individuals and by examining records and documents
  • Knowledge of the methods used in the preparation of charts, graphs and to prepare general reports and tables.
  • Must write concisely, express thoughts clearly and develop ideas in logical sequence

Preferred Qualifications:

  • General understanding of the Joint Commission survey process
  • Intermediate-Expert level computer skills, including: Word, Excel, Access,
  • PowerPoint and Visio
  • Previous experience with 149A bid writing
  • One or more years of previous experience coordinating building contracting plans
  • Previous experience with Joint Commission surveys

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four years of full-time, or equivalent part-time, professional experience in work simplification, management analysis, program analysis, methods analysis, economic analysis, fiscal analysis, financial analysis, budget analysis, program administration, or program management or (B) any equivalent combination of the required experience and the substitutions below.


I. A Bachelor's degree with a major in business administration, business management, public administration, industrial engineering or industrial management may be substituted for a maximum of two years of the required experience.*

II. A Graduate degree with a major in business administration, budget management, public administration, industrial engineering or industrial management may be substituted for a maximum of three years of the required experience.*

III. A Bachelor's degree or higher degree with a major other than in business administration, business management, public administration, industrial engineering or industrial management may be substituted for a maximum of one year of the required experience.*

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
