Program Administrator, College Services

SUMMARY: The Program Administrator is responsible for performing critical departmental functions related to data collection and analysis, system administration, event planning, project and program coordination and delivery, and high level administrative support.

PRIMARY DUTIES AND RESPONSIBILITIES:

Administration

* Coordinate various internal and external meetings; develop meeting agendas, record minutes and distribute notes.

* Arrange flights, lodging and other travel needs for staff and students.

* Co-facilitate meetings and presentations as assigned.

* Support CRM system changes, configuration and data mapping needs, as assigned.

* Assist with communicating system changes; support CRM training efforts.

* Maintain documentation for CRM.

* Provide administrative and logistical support for conferences, workshops and other partner or student events.

Program Delivery

* Assist with troubleshooting student or partner issues and coordinating solutions.

* Ensure proactive communication with team members in order to quickly resolve student or partner issues.

* Support student or partner events, orientations or workshops as needed.

Data Management

* Serve as point-of-contact between College Services, R & E and IT to develop and implement effective data collection & reporting processes.

* Support administration of systems required to efficiently track, monitor student and partner data.

* Support data collection efforts as needed; manage data quality efforts.

* Provide input to evaluation plan, processes and tools.

* Stay up to date and knowledgeable on systems and processes required to implement College Services; assist with documentation of systems and processes.

* Coordinate or support other data-related projects as assigned.

Communication

* Communicate system or process changes to relevant stakeholders.

* Support development of required proposals or reports.

* Performs other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

* Excellent organizational, project management and administration skills.

* Ability to multi-task while responding to multiple priorities and work well under pressure.

* Skills in Customer Relationship Management (CRM) systems.

* Outstanding interpersonal, oral and written communications skills.

* Microsoft Office365 (Word, Excel, PowerPoint and Outlook).

* Knowledge of Sharepoint.

* Utilize proactive approaches to problem-solving with decision-making capability.

* Be a "self-starter", able to work independently while observing and complying with all standards of the management personnel and relating programs and services of the employer.

* Ability to identify and solve problems.

* Ability to travel up to 25% of the time. Must have a valid driver's license and insurance.

QUALIFICATIONS FOR THE POSITION:

* Bachelor's Degree preferred.

* Minimum three years of relevant professional experience including administrative experience preferably in the non-profit sector.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to; reach with hands and arms and talk and hear. The employee is frequently required to use hands to finger, handle or feel; frequently lift and/or move up to 10 pounds, and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.

WORK ENVIRONMENT:

Work environment is moderately quiet. Employees must be able to handle stress that is involved in meeting strenuous customer deadlines, working in high volume areas and be flexible and able to interact with employees and students of all levels.
